Job Overview:
The Printing and Distribution Coordinator position is situated within the Production Management Service (PMSERV) of the ILO. This role is crucial for managing the production and distribution of ILO documents and publications, ensuring that all printing requests from various departments are processed efficiently and meet quality standards. The incumbent will oversee the Coordination of internal and external printing services, manage supplier performance, and maintain accurate records of production and distribution operations. The position requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders to enhance service delivery. The successful candidate will report directly to the head of PMSERV and will play a key role in improving work processes and ensuring timely delivery of printed materials.
Duties and Responsibilities:
- Coordinate the production and distribution of all printing requests from ILO headquarters departments, assigning tasks to team members and ensuring Quality Control of final products.
- Oversee services provided by external printing service providers, planning and coordinating service delivery and administrative arrangements.
- Monitor and report on supplier performance, ensuring compliance with quality, schedule, and invoicing requirements.
- Prepare periodic analyses and statistics regarding financial and production situations related to printing and distribution operations.
- Verify invoicing for print jobs and manage quotations for specific requests.
- Coordinate internal printing operations, including equipment acquisition and licensing.
- Conduct performance appraisals for team members.
- Provide input for process improvements and proposals to the head of the unit.
- Serve as backup for sales and distribution service operations. 1
- Perform other relevant duties as assigned.
Required Qualifications:
Candidates must have completed secondary school education and possess training in a relevant field. A solid understanding of financial rules and regulations, as well as administrative procedures in an international context, is essential. Additionally, candidates should have a strong knowledge of the printing and distribution industry, with proven skills in coordinating the production of printed and digital documents. Excellent communication and interpersonal skills are necessary to build and maintain relationships with stakeholders. Candidates should also demonstrate strong analytical and problem-solving abilities, organizational skills, and the capacity to manage multiple projects effectively.
Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. Candidates with additional training in relevant fields such as printing technology, Project Management, or business Administration will be preferred.
Experience:
A minimum of six years of experience in digital printing or distribution is required, including experience in a supervisory role. This experience should encompass a comprehensive understanding of the printing process, distribution Logistics, and team management.
Languages:
Candidates must have an excellent command of French and a working knowledge of a second language used within the organization. Proficiency in English is often considered beneficial, given the international nature of the ILO's work.
