Job Overview:
The Printing and Distribution Assistant position is situated within the Production Management Service (PMSERV) of the ILO, specifically in the Publications Production and Publishing Management Unit (PRODOC). This role is crucial for the effective management of the ILO's publishing processes, which encompass a wide range of activities including document production, Quality Control, and distribution of official publications. The incumbent will be responsible for various tasks related to the physical production of documents, ensuring that all materials are produced to the highest standards and delivered in a timely manner. The role requires flexibility, as the incumbent may need to work outside of normal hours during peak periods, such as the International Labour Conference. The successful candidate will report directly to the Printing and Distribution Coordination Assistant and will play a key role in maintaining the efficiency and effectiveness of the printing and distribution operations.

Duties and Responsibilities:
The duties and responsibilities of the Printing and Distribution Assistant include:
  • Assisting the supervisor in executing printing and finishing work according to the established work plan.
  • Providing information and assistance to customers through verbal and digital communication channels.
  • Checking and preparing incoming print files for accuracy and quality before printing.
  • Assembling, laying out, and checking PDF files for printing, as well as performing binding and finishing operations.
  • Assisting in the maintenance of printing and distribution machines and providing technical advice on equipment updates.
  • Drafting general and administrative correspondence and contributing to the preparation of technical terms of reference.
  • Monitoring the condition of printing and distribution consumables and managing orders.
  • Recording job requests and uploading final production files to the publication management system.
  • Preparing shipments in coordination with the ILO's mail and shipping services. 1
  • Carrying out distribution tasks for documents at official meetings. 1
  • Performing other relevant duties as assigned by the supervisor.

Required Qualifications:
The required qualifications for the Printing and Distribution Assistant position include:
  • Completion of secondary school education.
  • At least five years of experience in digital printing or distribution, including experience in a supervisory role.
  • Excellent command of French and a working knowledge of a second language used within the organization.
  • In-depth knowledge of the tasks and requirements of the job, with the ability to organize work effectively.
  • Proficiency in using computers and the Microsoft Office suite, as well as publishing software and digital platforms for managing customer requests.

Educational Background:
The educational background required for this position is the completion of secondary school education. This foundational education is essential for understanding the Technical Aspects of the role and for effective communication within the workplace.

Experience:
Candidates must have at least five years of relevant experience in digital printing or distribution.
