Job Overview:
The Management Support Officer will play a crucial role in supporting the Director" id="link" class="link">Deputy Director for UNRWA Affairs (Programmes) by conducting rapid research and Analysis on various political, economic, and relevant areas. The incumbent will be responsible for developing, monitoring, and updating the workplan and action points tracker for the D/DUA(P), ensuring that strategic and critical priorities are addressed effectively. This position requires strong management support skills, as the officer will assist in liaising with government counterparts, UN agencies, NGOs, the private sector, and other key stakeholders, while maintaining accurate records of meetings. The officer will also review and consolidate financial and performance analyses of programs and projects in collaboration with various offices within UNRWA. Additionally, the Management Support Officer will draft and edit briefing notes, speeches, reports, and presentations to support the D/DUA(P)’s engagements, and will coordinate workshops and events as needed. This role is vital for enhancing organizational effectiveness and efficiency initiatives aligned with front office priorities, and it requires a proactive approach to managing priority projects and external stakeholder engagements.
Duties and Responsibilities:
The duties and responsibilities of the Management Support Officer include: conducting rapid research and analysis on political, economic, and other relevant areas; developing, monitoring, and updating the D/DUA(P) workplan and action points tracker; providing management support as required; liaising with government counterparts, UN agencies, NGOs, the private sector, and other key stakeholders while maintaining records of meetings; reviewing, editing, and drafting briefing notes, talking points, speeches, reports, presentations, and other documentation; providing Coordination and monitoring support on interdepartmental organizational effectiveness and efficiency initiatives; supporting the development of management support systems and tools; planning, organizing, and coordinating workshops and other events; serving as the focal point for priority projects as designated by the D/DUA(P); and performing other duties as assigned by the supervisor.
Required Qualifications:
The position requires a minimum of five years of responsible and relevant work experience in public and/or private organizations, particularly in donor and partner relations, coordination, and engagement with external stakeholders. Candidates must possess a first university degree from an accredited educational institution in business Administration, public administration, communication, or a related discipline. Additionally, candidates must have an excellent command of written and spoken English and Arabic, and they should specify their current location in their application. Strong competencies in communication, planning and organizing, analyzing, applying technical expertise, creating and innovating, and relating and networking are essential for success in this role.
Educational Background:
Candidates must hold a first university degree from an accredited educational institution in business administration, public administration, communication, or a related discipline. An advanced degree, such as a Master's or equivalent, in relevant fields such as political science, international relations, humanitarian or development studies, is considered a desirable qualification.
Experience:
The Management Support Officer is required to have a minimum of five years of relevant work experience in public and/or private organizations. This experience should include roles that involve donor and partner relations, coordination, and engagement with external stakeholders. Candidates with additional relevant academic qualifications and/or additional years of progressive work experience may also be considered on equivalency.
Languages:
Candidates must have an excellent command of written and spoken English and Arabic. Proficiency levels should be indicated in the application, with 'Fluent' for very good to excellent proficiency, 'Confident' for good proficiency, and 'Basic' for basic proficiency. Knowledge of additional languages may be beneficial but is not mandatory.
Additional Notes:
The position is a Fixed-Term Appointment for three years, including a one-year probation period, with the possibility of extension subject to the availability of funds, satisfactory performance, and continuing need. The grade for this position is Grade 15, with a monthly salary of JD 997.300 fils. Other benefits include a Provident Fund contribution (15.4% of basic salary paid by the Agency), compulsory medical insurance, 30 days of annual leave, and a dependency allowance subject to eligibility. Additional benefits include two days of sick leave for each completed month of service, 14 weeks of maternity leave, and two weeks of paternity leave. The incumbent may be required to travel to UNRWA areas of operations. The vacancy is open to internal candidates residing in Jordan, and the Agency will not assume responsibility for work permit issuance.
