Job Overview:
The Investigations Coordinator position is part of the People and Culture team at CARE, reporting directly to the Workplace Investigations Manager. This role is primarily administrative and does not involve handling investigations directly. The coordinator will be responsible for maintaining the EthicsPoint Case Log, ensuring that all cases are updated and closed within a specified timeframe. The position requires strong organizational skills and the ability to manage multiple tasks effectively. The coordinator will also support the Regional Safeguarding Advisors and the Director of Safeguarding by managing tools and resources, running reports, and performing various administrative tasks as needed. This role is crucial in ensuring that the organization's safeguarding processes are efficient and effective, contributing to CARE's overall mission of eradicating poverty and promoting social justice.
Duties and Responsibilities:
1. Case Log Update: Develop and implement a process for effectively updating open cases and ensuring they are closed within 60 days. Input, update, and maintain all required information in the Case Log and EthicsPoint. Communicate and follow up with Regional HR Business Partners and Country Office HR Leads to obtain updates on open cases. Ensure all pertinent information is uploaded and updated in EthicsPoint. 2. Reports: Run and distribute reports to the Safeguarding team, Director of Safeguarding, and other stakeholders as needed. Create visual representations of data using Excel and/or Power BI. Collaborate with the Legal team to generate specific reports from Navex. Analyze data and report trends to the Workplace Investigations Manager and the Director of Safeguarding. Conduct audits of EthicsPoint to ensure cases are closed with appropriate documentation. 3. Business Support: Coordinate Logistics for meetings and training sessions. Manage the calendar of the Director of Safeguarding. Organize translations for meetings and documents. Maintain and organize contracts of vendors and contractors.
Required Qualifications:
1. A Bachelor's degree in business Administration or a related field, or an equivalent combination of education and work experience. 2. A minimum of 4 years of experience in a similar administrative role. 3. Advanced knowledge of Excel and PowerPoint is required. 4. Excellent time management skills with the ability to prioritize tasks effectively. 5. Strong organizational skills with the capability to multitask efficiently. 6. Excellent written and verbal communication skills. 7. Attention to detail and strong problem-solving abilities. 8. Discretion and confidentiality are essential due to the sensitive nature of the work. 9. Flexibility in working with different time zones worldwide.
Educational Background:
A Bachelor's degree in business administration or a related field is required. Candidates with equivalent combinations of education and relevant work experience may also be considered. The educational background should provide a solid foundation in business principles and administrative practices.
Experience:
Candidates should have a minimum of 4 years of experience in a similar administrative role. This experience should ideally include responsibilities related to case management, report generation, and organizational support within a complex and dynamic environment.
