The organization operates in around twenty countries and employs approximately 2,500 people, including expatriates, national staff, permanent headquarters staff, and a few volunteers. Job Overview:
The Support Assistant will report to the financial controller and the Logistics-officer" id="link" class="link">Logistics Officer of the Desk, with a time allocation of approximately 50% for Financial Management/accounting tasks and 50% for logistics-related tasks. Under the supervision of the financial controller and the Desk logistics officer, the assistant will assist in various accounting tasks related to missions, verify analytical and accounting allocations for different missions, support the annual accounting closure and/or the semi-annual analytical closure of missions, and utilize accounting software SAGA (Mission). The role also involves supporting field administrators with daily needs, participating in budget monitoring, validating budgets for operational proposals submitted to donors, validating interim and final financial reports for programs, preparing for financial audits, and participating in weekly and monthly meetings across various departments.
Duties and Responsibilities:
The duties and responsibilities of the Support Assistant include: assisting the manager with accounting tasks related to missions; verifying analytical and accounting allocations; supporting the annual and semi-annual accounting closures; utilizing accounting software SAGA; managing daily needs of field administrators; participating in budget monitoring; validating budgets for operational proposals; validating financial reports for programs; preparing for financial audits; validating cash flow forecasts; participating in weekly and monthly meetings; examining documents for purchases made on the field or at headquarters; ensuring compliance with SI procedures; participating in the preparation of logistical documents for final reports to donors; archiving processed files; handling monthly logistics packs; verifying and updating logistics tracking documents.
Required Qualifications:
The required qualifications for the position include a Bac +3/4/5 level of education, a technical BTS, or specific NGO support training such as Bioforce with a component in management and/or logistics. A successful and significant professional experience in management (accounting, finance) and/or logistics (purchasing, transport, technical) is essential. Proficiency in common office software is required, with a strong knowledge of Excel being particularly important. Candidates should also possess good command of English (oral and written), and knowledge of Spanish is a plus. Autonomy and rigor are essential traits for this role.
Educational Background:
Candidates should have a minimum educational background of Bac +3/4/5, which may include a technical BTS or specific training in NGO support, particularly in management and/or logistics. This educational background is crucial for understanding the complexities of financial and logistical operations within an NGO context.
Experience:
The position requires a successful and significant level of professional experience in the fields of management (accounting, finance) and/or logistics (purchasing, transport, technical). This experience is vital for the candidate to effectively support the financial and logistical operations of the organization.
Languages:
The mandatory language for this position is English, with a good command required in both oral and written forms. Knowledge of Spanish is considered a valuable asset, enhancing the candidate's ability to communicate in a multilingual environment.
Additional Notes:
The internship is based at the headquarters of SI in Clichy (92), accessible via the Mairie de Clichy metro station. The internship requires a mandatory internship agreement. The compensation for the internship is set at 4.90 euros per hour, calculated pro-rata based on actual hours worked in the month (approximately 154 hours per month, equating to 22 days of 7 hours each). Public transport costs are covered at 50% by SI, and interns receive meal vouchers worth 8.90 euros per day worked, with SI contributing 60% of this amount.
