Job Overview:
The HR and Administration Technical Assistant plays a crucial role in supporting the Field Office by managing HR and administrative tasks on a daily basis. This position requires a proactive approach to problem-solving and the ability to work independently while adhering to established procedures and standards. The assistant will be responsible for maintaining accurate HR data, supporting recruitment processes, and ensuring proper documentation and filing. Additionally, the role involves managing administrative tasks such as purchasing supplies, organizing repairs, and coordinating business trips for employees. The assistant will also be expected to contribute ideas for improvement in their area of expertise and prepare status reports as required by management.
Duties and Responsibilities:
The duties and responsibilities of the HR and Administration Technical Assistant include:
- Adhering to NRC policies, tools, handbooks, and guidelines.
- Implementing procedures and activities within the HR and Admin functions as delegated.
- Organizing and delivering tasks in line with priorities and standards.
- Maintaining accurate data in the HR Database, including personnel files and attendance records.
- Supporting hiring and resignation processes, including contract creation and updating trackers.
- Assisting with the induction process for new employees.
- Managing vacation and sick leave processes according to established procedures.
- Creating HR orders for vacations and business trips.
- Tracking attendance for mandatory trainings. 1
- Verifying timesheets for accuracy. 1
- Purchasing necessary goods for the office and preparing payment documentation. 1
- Organizing minor repairs and maintaining office supplies. 1
- Managing accommodation needs for international staff. 1
- Searching for office premises and supporting agreements. 1
- Organizing business trips and workshops for employees. 1
- Updating and filing Admin files. 1
- Performing other HR/Admin related tasks as required.
Required Qualifications:
The required qualifications for this position include:
- A Bachelor’s degree or higher in a relevant field.
- At least 1 year of experience in HR and Administration.
- Proficiency in MS Office applications.
- A confident level of spoken and written English.
- A strong commitment to confidentiality and ethical practices in HR and Admin functions.
Educational Background:
Candidates must possess a Bachelor’s degree or higher in a relevant field, which provides the foundational knowledge necessary for effective performance in HR and administrative tasks. This educational background is essential for understanding the complexities of Human Resources and administrative management.
Experience:
Candidates should have a minimum of 1 year of experience working in HR and Administration. This experience should include familiarity with HR processes, documentation, and administrative support tasks. The ability to navigate and manage HR databases and systems is also crucial for success in this role.
