We have an excellent opportunity for an Executive Assistant, Human Resources. The position will provide administrative support to four staff members, including a Senior Vice President (SVP), who oversee human resources operations for our 11-state Midwest region.

To help you be successful you will have access to our award-winning learning platform the Heart U as well as various other training and support mechanisms locally and through our National Center.

Due to the current pandemic, all staff nationwide are currently working from home. In the future, this position will resume to being based in a local office.


  • Provide direct assistance to the SVP of Human Resources by maintaining Outlook Calendar; scheduling travel arrangements and hotel accommodations; completing research assignments; reconciling expenses; creating detailed and creative reports and presentations; generating reports; capturing meeting minutes.
  • Maintain an orderly system for tracking data.
  • Manage the milestone anniversary gifting process. Serve as backup for Midwest Region Gift Card program.
  • Ensure the success of HR programs and initiatives by coordinating and scheduling meetings/trainings, developing and maintaining registration processes, preparing and distributing pre- and post-event packets, ordering supplies/materials, coordinating travel and lodging, coordinating virtual meeting/training environment, and follow up correspondence.
  • Maintain an orderly filing system for correspondence, minutes and employee files. Provides support to talent acquisition and onboarding by uploading interview notes, maintaining accurate candidate/employee files. Ensures content of new hire onboarding packets is up-to-date and relevant. Distributes onboarding packets to new hires.
  • Manage the Midwest region HR Inbox and calendar.
  • Maintain the Midwest region HR SharePoint site, including Design and Content Management.
  • Produce budget reports and maintains budget tracking for HR programs and initiatives. Processes HR invoices and expense reports.

  • 2+ years of related administrative experience.
  • 1+ years of experience supporting Human Resources operations preferred.
  • Experience using a Human Capital Management System is a plus. Workday experience is preferred.
  • College degree or some college a plus.
  • Must have at least intermediate knowledge and skill with Microsoft Office used for word processing, email, presentations, and spreadsheets. Advanced knowledge and skill with these programs is preferred. These skills are subject to testing.
  • Knowledge of and skill in Report Preparation, proofreading and attention to detail.
  • Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers and the public.
  • Ability to lift and/or move up to 20lbs.
