Job Description

The Event Manager is responsible for the timely and qualitative management of international high-level and expert-level events within the framework of the Policy, Research and Strategy (PRS) Directorate. This includes meetings, conferences, workshops or other events of both small and large scale, and in virtual, hybrid and in-person settings. S/he will contribute to the identification and development of suitable event formats in line with work plans and priorities.

The Event Manager establishes, executes and monitors the implementation of a work plan for the area of work, in close Coordination with the Policy and External and Member States Relations Units of the PRS Directorate, ensuring the successful and timely delivery of all activities under the agreed work plan. S/he plans, oversees and leads the effective implementation of all stages of event organisation, spanning from conceptualisation and planning to execution, closing and reporting. S/he analyses, strategizes, and proposes event concepts, budgets, timelines, and implementation and engagement plans tailored to the respective business needs. S/he oversees the on-site execution, coordination, and support for teams and participants before, during and after events. The Event Manager continuously analyses the implementation of events, takes corrective action as required and assesses achieved results for quality and impact. S/he monitors and evaluates event processes, concepts, and results, and generates feedback, seeking creative solutions and new ideas to add value to event development.

In close collaboration with the assigned team and internal counterparts, s/he guarantees that all activities are managed in line with ICMPD's rules and business processes and that outputs are delivered on time, on budget, and to agreed quality standards by generating high quality integrated work plans.

S/he develops and maintains relationships with partners, beneficiaries, suppliers and other stakeholders in the area of work, and maintains regular and open collaboration with internal partners across the organisation.

The Event Manager leads and supervises the event organising team ensuring that the team works according to the work plan and produces timely and qualitative outputs. S/he assesses the performance of the team members.

The Event Manager works under the overall supervision of the Head of Policy, in close coordination with the Heads of Units and staff across PRS. S/he maintains working relationships with the other Directorates, Regional Offices and the Brussels Mission, and shares information and communicates with external partners, Member States and donors.
