Job Overview:
The position of Coordination and Supervision Officer is situated within the Production Management Service (PMSERV) of the ILO. This unit is part of the Internal Services and Administration Department (INTSERV), which is responsible for the overall management of facilities, assets, and stocks, as well as Security, production, distribution of publications, and other internal services. The PMSERV is specifically tasked with overseeing all aspects related to the production and management of publications, including copyright, Design, editing, proofreading, Quality Control, digital production, and both internal and external printing. The incumbent will coordinate and supervise the printing and distribution activities of ILO documents and publications, ensuring that all requests are processed efficiently and effectively. The role requires a proactive approach to managing workflows and maintaining high standards of quality in all outputs, while also liaising with various departments and external service providers.
Duties and Responsibilities:
- Coordinate the production and distribution of all printing requests received from ILO departments and units, including task allocation to team members. Ensure quality control of final products, supervise document delivery, and follow up with clients.
- Oversee and coordinate services provided by external printing service providers, planning and managing administrative arrangements. Propose solutions for external printing requests based on workload and technical constraints.
- Monitor, track, and report on supplier performance, ensuring compliance with quality, timeliness, and billing requirements.
- Prepare periodic analyses and statistics regarding the financial situation and production related to printing and distribution operations. Update publication information in the publication management system upon completion of production.
- Verify billing for printing work and quotes for specific requests related to documentation production and distribution for official meetings and other departments.
- Coordinate internal printing operations, material acquisition, and licensing grants.
- Evaluate team members' performance.
- Contribute to process improvement initiatives and propose recommendations to the unit head.
- Provide support for sales and distribution operations as well as daily operational tasks. 1
- Undertake other relevant tasks as assigned.
Required Qualifications:
The ideal candidate must possess a solid understanding of financial rules and regulations, as well as administrative procedures and practices in an international environment. A strong knowledge of the printing and distribution sector is essential, along with proven coordination skills in producing printed and digital documents and publications. Excellent communication and interpersonal skills are required to establish and maintain relationships with key stakeholders. The candidate should also demonstrate strong analytical and problem-solving abilities, the capacity to manage multiple projects and priorities, and effective organizational and time management skills. The ability to work independently and as part of a team is crucial, as is proficiency in relevant Software Applications, including prepress software, Adobe Acrobat, and publishing Management Systems. The candidate should be able to foster a productive work environment and maintain effective communication with colleagues and external partners, while being sensitive to gender considerations and promoting inclusivity.
Educational Background:
Candidates must have completed secondary education. Additional qualifications in relevant fields such as business administration, Project Management, or communications would be advantageous.
Experience:
A minimum of five years of relevant professional experience is required, particularly in roles related to production management, printing, or distribution services within an international context.
Languages:
Fluency in French is mandatory, along with practical knowledge of a second working language, preferably English or Spanish.
Additional Notes:
This position is a fixed-term contract. The entry-level salary for this grade is 86,236 CHF per year. The recruitment process is subject to local recruitment rules, and only candidates with valid residency status in Switzerland or those residing in neighboring France will be considered.
