Job Overview:
The Consultant for Annual Meeting Organization will play a crucial role in the planning, programming, and implementation of the Annual Meeting of the Board of Governors for the Asian Infrastructure Investment Bank. This position requires a professional with extensive experience in Event Management, particularly in the context of international events. The consultant will be responsible for leading various aspects of event management, including registration systems, travel arrangements, and social events. The role also involves collaborating with corporate service providers and government partners to ensure the successful execution of the Annual Meeting and related programs. The consultant will be expected to maintain accurate records and contribute to post-event documentation, ensuring that all aspects of the event are well-coordinated and executed to the highest standards.
Duties and Responsibilities:
The consultant's duties and responsibilities include leading the development and supervision of the event registration and badging system, planning and coordinating international travel arrangements for invited guests, and organizing ground transport services. Additionally, the consultant will be responsible for planning and organizing social events associated with the Annual Meeting, managing vendor selection and procurement, and overseeing the management of supporting volunteers. The consultant will also participate in the Annual Meeting, supervising onsite implementation of designated areas, maintaining accurate event data, and contributing to comprehensive post-event reports. The consultant is expected to prepare action plans, participate in Coordination meetings, conduct onsite visits, and provide innovative ideas to enhance team professionalism.
Required Qualifications:
The position requires a Bachelor’s degree in relevant fields from a reputable university. Candidates must possess excellent English and Chinese Mandarin speaking and writing capabilities, along with effective communication skills. A minimum of 5 years of relevant professional experience in international events management in China is essential, with a proven track record in managing government relations. Experience with international organizations or multinational corporations is preferred, highlighting the need for strong interpersonal skills and the ability to navigate complex organizational structures.
Educational Background:
Candidates must hold a Bachelor’s degree in a relevant area, such as event management, International Relations, or a related field, from a reputable university. This educational background is essential to ensure that the consultant has the necessary theoretical knowledge and practical skills to effectively manage the complexities of international events.
Experience:
The consultant is expected to have at least 5 years of relevant professional experience in international events management, specifically within China. This experience should include a proven record of successfully managing large-scale events and navigating government relations, which is critical for the role. Familiarity with the operational dynamics of international organizations or multinational corporations will be advantageous.
Languages:
Fluency in both English and Chinese Mandarin is mandatory for this position, as effective communication in both languages is crucial for coordinating with diverse stakeholders. Additional language skills may be considered beneficial but are not required.
Additional Notes:
The consultant will be expected to work onsite at the AIIB headquarters in Beijing, China, and will be part of the Annual Meeting team within the Corporate Secretariat. The consultant will have access to a dedicated office area, workstation, and administrative support during the assignment.
