Job Overview:
The IEA is seeking to recruit several assistants to create a reserve list of candidates for current and future needs. The role involves providing support for Office Management tasks, including organizing events and meetings, preparing documents, and creating communication materials. Candidates should be enthusiastic and motivated, with relevant experience, and should thrive in a diverse and collaborative multicultural work environment. Duties and Responsibilities:
The main responsibilities of the assistant position include: drafting correspondence and notes, managing calendars, information flows, and records; organizing workshops, meetings, and conferences, which entails managing room reservations, catering arrangements, document preparation, and participant lists; acting as an administrative focal point for contacts with Member Delegations and other external interlocutors; organizing business travel, including bookings, visa applications, and processing expense claims; preparing and processing contracts and payments for intellectual service providers and invited experts; assisting in the preparation and updating of documents, publications, websites, and Social Media in both official languages (English and French), which may involve sub-editing, proof-reading, and formatting; proactively suggesting improvements to existing administrative processes and workflows; adopting a Continuous Learning approach regarding evolving corporate systems and procedures; and staying informed about relevant financial and Human Resource rules related to assigned workflows.

Required Qualifications:
Candidates are required to have a secondary level of education, preferably with a focus on office management, secretarial studies, and language studies. Relevant experience in an international environment is ideal, particularly in document/publication preparation and the organization of large-scale meetings and events, as well as travel management. Proficiency in using Microsoft Office Suite is essential, and experience with mission software (such as SAP) and web management software (such as T4) is advantageous.

Educational Background:
The educational background required for this position includes a secondary level of education, with a preference for candidates who have pursued studies in office management, secretarial work, or languages. This educational foundation is crucial for performing the administrative and organizational tasks expected in this role.

Experience:
Candidates should possess relevant experience, ideally in an international context. This experience should include the preparation of documents and publications, organization of large-scale meetings and events, and management of travel arrangements. The ability to adapt to a multicultural work environment and collaborate effectively with diverse teams is also essential.

Languages:
Fluency in one of the two official OECD languages (English and French) is mandatory, along with knowledge of the other language, with a commitment to achieving a good working level. For certain positions, knowledge of additional languages would be considered an asset, enhancing the candidate's profile and ability to communicate in a multilingual environment.

Additional Notes:
The contract duration for this position is either one or two years, with the possibility of renewal. The OECD offers a monthly base salary starting from 3,705 EUR, along with allowances based on eligibility, and the salary is exempt from French income tax. The appointment may be made at one grade lower in the specified job family, depending on the qualifications and professional experience of the selected applicant, with duties and responsibilities adjusted accordingly. The selection process includes written tests and video-recorded interviews in December, followed by panel interviews planned for January and February.
