Job Overview:
The position is within the Resources and Services Branch (RES) of the ISSA. The incumbent will provide administrative and financial support under the direct supervision of the Head of RES. The RES branch is responsible for budget and finance, procurement, internal control, Human Resources, travel and official missions, ICT services, Logistics, and maintenance of the ISO 9001:2015 quality system. The role involves active participation in financial Data Management projects and the implementation of initiatives aimed at improving operations through advanced automation and collaboration systems. The incumbent may also engage in specific projects to contribute to ISSA's activities in their area of expertise.
Duties and Responsibilities:
The key responsibilities include participating in the financial correspondence Management Project in SharePoint, which involves organizing and maintaining financial correspondence, supporting the digitization and archiving of paper files, ensuring file structure consistency, and managing access permissions. Regular audits of the archiving system will be conducted to ensure compliance with policies. The incumbent will coordinate and update information in budgetary, financial, and administrative databases, monitor activities and resources, and manage the issa-finance@ilo.org email to ensure member requests are addressed appropriately. Additionally, the role involves optimizing online collaboration tools and business process automation solutions based on Microsoft technologies, assisting in the deployment of new systems, and managing activities related to commitments and expenditures, including accounting operations for creditors and reconciling accounts. The incumbent will also assist in organizing travel and financial tasks related to the recruitment of experts, contribute to financial and budgetary report writing, and analyze data to identify trends and patterns for planning and decision-making purposes. The role may require support in various operational and administrative activities in collaboration with other ISSA units during busy periods such as meetings and conferences.
Required Qualifications:
Candidates must possess a bachelor's degree in finance or accounting, with a specialization in business administration and strong computer skills. A certification in accounting is desirable, and any additional training related to the activities of RES would be an asset. Relevant professional experience in finance, accounting, or auditing is required, with experience using specific Microsoft tools (Office 365, Business Central, PowerApps, SharePoint) being a significant advantage.
Educational Background:
A bachelor's degree in finance or accounting is required, with a specialization in business administration. Strong knowledge of Computer Applications is essential, and a certification in accounting is preferred. Additional training in areas related to the functions of RES would be beneficial.
Experience:
Candidates should have relevant professional experience in finance, accounting, or auditing. Experience with Microsoft tools such as Office 365, Business Central, PowerApps, and SharePoint is highly advantageous and will enhance the candidate's suitability for the role.
Languages:
Fluency in French or English (both oral and written) is required, along with practical knowledge of the other language. Knowledge of a third working language of ISSA (German or Spanish) would be an asset.

The contract is for a fixed duration of 12 months, renewable up to three consecutive years, subject to the availability of funds, the continuity of the need for the functions performed, and satisfactory conduct.
