Job Description

About the job

To be responsible for the Coordination of the front office, and control the entrance of all the visitors to the country office Responsibilities: 

Frontline, Reception duties: •    Ensure Security to DRC staff and property •    Greet visitors with a positive and helpful way, and ensure visitors books are signed •    Assisting visitors in finding their ways around the office •    Enforce DRC’s non weapon policy •    Monitor the CCTV system •    Report any security incident to NSO •    Follow DRC security guidelines •    Schedule, Monitor and coordinate the request of the meeting room •    Monitor the daily cleaning process in DRC offices and/ or guesthouse, report to Admin Team Leader.

•    Monitor daily kitchen needs for DRC offices and buildings, doing necessary PRs for that purpose •    Check fire extinguishers on a monthly basis in all DRC offices and guesthouses, report to NSO.

•    Check the building on a daily basis or any maintenance and/or repairs needed.

•    Inform Safety/Logistics in the expiry date of the fire extinguisher and any first aid components before 15 days.

•    Make sure to turn off all electrical devices in DRC buildings before leaving the duty station •    Ensure there is Drinking Water ready for use in the office guest houses.

HR related duties: •    Filling of personnel files (hard and/or soft copies) •    Filling of recruitment files (hard and/or soft copies) •    Collecting employees’ signatures when required •    Updating staff contact list •    Any clerical assistance required Safety related duties: •    Assist the safety team with access letters Other: •    Any other duties as may be assigned by the Line Manager •    Conduct duties in accordance with DRC Iraq Programme Standard Operation Procedures (SOP) •    Conduct duties in accordance with DRC Code of Conduct.

Experience and technical competencies:  •    At least One year of experience in relevant work •    A high respect to visitors/ organization confidentiality •    Demonstrated interpersonal skills and respect for people approaching in the office •    Ability to work in a multicultural context as a flexible and respectful team player •    Very good communication skills •    Consistent professional dress and manner •    Experience of work with the UN or NGO or voluntary is preferred but not essential Education: 

•    Minimum education: Diploma or equivalent or higher..

Languages: 

•    Very good English, Kurdish and Arabic •    Typing skills for all three languages is required In this position, you are expected to demonstrate DRC’ five core competencies:
