The American Heart Association (AHA) has an excellent opportunity for an Accounts Payable Associate - Transaction Auditor in our National Center office located in Dallas, Texas .

In this role, you will be responsible for all duties related to preparing disbursement vouchers for payment, auditing transactions to adhere to AHA policies and procedures, complying with IRS requirements and maintaining appropriate Accounts Payable filing systems. Additional requirements include understanding travel and procurement policies and applying policies to the review of all transactions, reviewing/posting accounts payable batches, and reviewing/releasing invoices according to policy.

Essential Job Duties:

  • Responses to the Accounts Payable customer service phone line according to assigned hours.
  • Ensures phone rolls to the next staff person assigned when logging off assigned shift.
  • Sees that all calls completed are deleted and calls not completed are noted with appropriate followed up.
  • While working remote ensure online network connection is maintained using the designated AHA office communication system.
  • Ensures that assigned Finance Customer Shared Services intake site requests and email requests are responded to timely, specifically same business day if possible, and no later than 24 hours.
  • Advise customers that the issue/question is being worked on and provide an estimated turn-around time to resolution.
  • Collaborate with other Finance team members behind the scenes within the department for a solution to customer's problem.
  • Audits and releases payment requisitions.
  • Enters standard vouchers uploads as well as payment requisitions and Volunteer reimbursement as needed.
  • Adheres to the monthly and annual accounts payable deadlines.
  • Provides guidance to AHA staff on sales exception certificates, NC blanket order/purchase order requirements, invoice entry and approval and upload functions.
  • Serves as backup for disbursement run, check printing and mailing, reviews previous day bank reports and performs PCard Administrative functions as needed.
  • Serves as main resource for recurring payments and monthly ghost card travel upload. Tracks and records prepaids and accruals for fiscal year-end processing.
  • Assists management with accounts payable training and development materials for new hires, AHA staff members and AP team. Performs mileage and other expense audits and reporting as needed.
  • Stays versed on back up particulars for support of audit and release for all other regional transactions.

  • High School Diploma or Equivalent
  • Minimum of two (2) years’ exposure and experience in an Accounts Payable department.
  • Must be detail-oriented with strong analytical, problem-solving, and financial skills.
  • Must have a passion for excellent customer service and commitment to exceptional quality.
  • Proficiency in PC applications including Windows, Excel, Word, PowerPoint, Automated Financial Systems.
  • Excellent written, oral, and Interpersonal Communication skills required, with all levels of staff, externally and internally.
  • Must be capable of working independently, with strong organizational skills, and able to handle changing priorities.

Pay is commensurate with experience.

Benefit Plans:

Employees scheduled to work at least 20 hours per week are eligible to participate in the medical, dental, and vision plans the first of the month following 30 days of service. AHA subsidizes the medical and dental cost to ensure benefits are affordable. Eligible dependents under AHA’s group benefit plans include legal spouse, domestic partner, children under the age of 26 or who are disabled. AHA offers additional benefits like an EAP, telehealth benefit for general medical and behavioral health, flexible spending accounts, life insurance, and disability.

Retirement Plans: AHA retirement plans offer employees a way to start saving after their first paycheck. The retirement plans provides employer contributions after two years of service. If you have previous 501(c)(3) non-profit experience, within the last 5 years, at a national health agency, an institution of higher learning or a medical institution, that experience may count towards the two-year waiting period. Employees are 100% vested in employee and employer contributions.

Paid Days Off: Regular full-time and part-time employees earn Paid Time Off (PTO) based on years of service. PTO begins accruing on date of hire. Full time employees receive one paid Community Service time off day per year and are encouraged to participate in projects, programs and organizations which contribute to the health and vitality of their communities. AHA also offers 12 paid holidays per year.

Leaves of Absence: AHA offers both Short Term and Long Term Disability benefits which replace earnings if you are unable to work due to a non-work-related illness or injury. Employees are eligible for Short Term Disability after 90 days of service and are eligible for Long Term Disability after being disabled for 90 days or more. Eligible employees can take up to 12 weeks off of work for a qualified leave of absence under the Family Medical Leave Act (FMLA), intermittent FMLA leaves and leave as an accommodation under the Americans with Disabilities Act as Amended (ADAAA.
