Job Overview: The General Services Clerk position is integral to the UNDP Country Office in Jordan, providing essential administrative support to ensure the smooth functioning of operations. The role involves direct supervision by the analyst" style="border-bottom: 1px dotted #007bff !important;">Administrative Analyst (NOA) and requires collaboration with various programme teams, operations personnel, and government counterparts. The General Services Clerk is expected to deliver efficient and compliant administrative services, manage common premises, registry services, government liaison functions, and fleet coordination in accordance with UNDP rules and procedures. The incumbent will play a vital role in maintaining operational efficiency, ensuring compliance with corporate standards, and supporting the overall mission of UNDP in Jordan. This position is crucial for facilitating administrative processes and ensuring that the office operates smoothly and effectively, contributing to the successful implementation of UNDP's programmes and projects.
Duties and Responsibilities: The General Services Clerk will perform a variety of duties, including but not limited to:
Supporting the management of common premises and facilities by assisting in the day-to-day administration of office premises, coordinating routine maintenance activities, and maintaining records related to premises management.
Providing registry and mail management services by managing incoming and outgoing mail, maintaining registry records, and ensuring proper documentation and filing in line with UNDP records management procedures.
Supporting government liaison and administrative transactions by facilitating processes with government entities for international personnel, coordinating customs clearance procedures, and maintaining updated records for residency permits and customs documentation.
Coordinating fleet and transportation by managing daily transportation requests, maintaining records related to vehicle usage and maintenance, and ensuring compliance with UNDP fleet management procedures.
Supporting administrative coordination and service delivery by maintaining administrative records, logs, and tracking tools related to services provided by the General Services Unit, and performing other administrative tasks as assigned by the supervisor. The incumbent is also expected to synthesize lessons learned and contribute to knowledge networks and communities of practice.
Required Qualifications: The position requires a secondary education as a minimum, with a university degree in Business Administration, Social Science, Management, or a related field being advantageous but not mandatory. Candidates should possess solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet software. Fluency in both English and Arabic is required, as effective communication is essential for this role. Additionally, candidates should demonstrate a capacity to communicate fluently with different stakeholders, including government authorities and development partners, and have experience in supporting fleet management and general administration and logistics.
Educational Background: Candidates must have completed secondary education, with a university degree in a relevant field being preferred. While a degree is not a strict requirement, it will be given due consideration. The educational background should ideally provide a foundation in business administration or social sciences, equipping candidates with the necessary skills to perform the duties of the General Services Clerk effectively.
Experience: The position requires a minimum of 4 years of experience in programme support and operational-related tasks for candidates with secondary education, or at least 1 year of experience for those with a bachelor's degree. Experience within UN agencies is desirable, as it provides familiarity with the operational context and procedures of UNDP. Candidates should have a proven track record of managing administrative tasks efficiently and effectively, demonstrating the ability to respond to client needs and deliver quality results in a timely manner.
