UNOSD serves as a project office that provides substantive support and capacity-building for the Sustainable Development Goals (SDGs) and their related thematic issues. Job Overview: The Team Assistant will report directly to the Senior Sustainable Development Officer at UNOSD. The role encompasses a wide range of office support and administrative functions, which are essential for the smooth operation of the office. The Team Assistant will be expected to respond to and draft routine correspondence, manage office processes and schedules, and assist in the verification of documents to ensure compliance with legal and financial requirements. The position also involves researching and organizing information for reports and meetings, generating statistical reports, proofreading documents, and providing logistical support for UNOSD meetings and events. The Team Assistant will play a vital role in coordinating project planning and ensuring that project documents are complete and compliant with relevant rules before submission for approval. This position requires a proactive approach to managing tasks and supporting the overall mission of UNOSD.
Duties and Responsibilities: The Team Assistant will be responsible for a comprehensive set of duties, including but not limited to: performing a wide range of office support and administrative functions; drafting responses to routine correspondence; producing complex documents and reports using standard word processing software; monitoring processes and schedules related to the office's outputs; verifying the accuracy of documents and approvals; researching and compiling information for various reports and meetings; generating standard statistical reports; proofreading and editing documents for accuracy and adherence to standards; assisting in project planning and preparation; coordinating logistics for meetings and events; maintaining websites and preparing presentation materials; managing calendars and schedules; processing mail and documents; maintaining distribution lists; performing general administrative tasks; and maintaining both paper and electronic files and databases. The Team Assistant will also be expected to perform other duties as assigned by the Senior Sustainable Development Officer.
Required Qualifications: Candidates must possess a high school diploma or equivalent. Additionally, at least three years of experience in general office support or a related area is required. Experience in secretarial, administrative, and logistics support for international meetings and events is essential, as is experience in using integrated information management systems such as SAP or Umoja. Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) is required, and experience in web maintenance and organizing virtual meetings is desirable. Candidates should demonstrate professionalism, teamwork, and effective planning and organizing skills.
