Job Overview: The Logistics and Warehouse Assistant position is crucial in supporting the logistics and warehouse operations in Damasak, Borno State, Nigeria. This role is designed to assist in the management of warehousing, fleet, fuel, and asset management activities, ensuring compliance with organizational procedures and donor requirements. The assistant will work under the supervision of the Field Coordinator, contributing to the timely and cost-effective delivery of goods and services. The position also involves maintaining accurate inventory control and proper documentation across all operations, which is essential in a region facing a humanitarian crisis with a significant number of Internally Displaced Persons (IDPs). The assistant will play a vital role in ensuring that resources are managed efficiently and effectively to meet the urgent needs of the affected populations.
Duties and Responsibilities:
Logistics, Fleet & Asset Management (50%):
- Support planning and tracking of vehicle movement and cargo deliveries.
- Monitor fuel usage and consumption for project vehicles and generators, ensuring proper records and reconciliations, including monthly consumption analysis.
- Conduct routine fleet checks and support driver orientation and adherence to safety protocols.
- Tag all project assets according to donor and internal guidelines and maintain up-to-date asset registers.
- Support with uploading vendor payments to DPA and follow up on vendor deliveries, maintaining accurate documentation.
- Report and document lost, damaged, or disposed assets in line with donor rules and procedures.
Warehouse & Inventory (50%):
- Receive, inspect, and verify all incoming goods, updating stock records accordingly.
- Support the Warehousing Officer in maintaining organized storage, labeling, and proper handling of commodities.
- Conduct periodic physical stock counts and spot checks, reconciling with inventory records.
- Document and prepare goods for dispatch and distribution in coordination with program staff.
- Update the Warehouse Management Software (WMS) periodically as guided.
Compliance & Reporting:
- Ensure all activities comply with FHI 360 Policies, Procurement and Logistics SOP, as well as donor requirements.
- Maintain organized records and documentation for audits and internal reviews.
Required Qualifications: The ideal candidate should possess a BS/BA degree in Logistics, Administration, Engineering, or a related field, along with 1-2 years of relevant experience, preferably in an NGO setting. Candidates should have experience using inventory management ERP software and demonstrate knowledge of asset and fleet management practices. Familiarity with FHI 360 humanitarian logistics procedures, especially in Northeast Nigeria, is highly desirable. Proficiency in Microsoft Office applications, particularly Excel and Word, is also required, along with experience in using ERP or inventory management systems.
Educational Background: Candidates must have a BS/BA degree in Logistics, Administration, Engineering, or a related field. This educational background is essential to ensure that the candidate has the necessary theoretical knowledge and practical skills to perform the duties associated with logistics and warehouse management effectively.
Experience: The position requires 1-2 years of similar experience, ideally within a non-governmental organization (NGO). Candidates should have a solid understanding of logistics operations, including inventory management, fleet management, and compliance with donor requirements. Experience in humanitarian settings, particularly in Northeast Nigeria, is preferred, as it provides valuable insights into the unique challenges faced in such environments.
