DRC has been active in Uganda since 1997, focusing on the refugee situation in the West Nile and southwestern regions, as well as addressing non-refugee humanitarian and development needs in the Karamoja region. Currently, DRC employs a significant number of staff across various countries, working collaboratively with local communities to achieve sustainable solutions for displaced persons.

Job Overview:
The Grants Management Specialist role at DRC Uganda is crucial for ensuring compliance with grant management guidelines and facilitating effective donor reporting. The position requires a highly qualified and motivated individual who will lead efforts in managing grants, ensuring that all processes align with DRC's standards and donor requirements. The specialist will be responsible for organizing grant-related information, preparing for grant meetings, and actively participating in project management discussions. This role also involves collaboration with various teams to gather inputs for reports, support documentation of lessons learned, and assist in partnership management. The Grants Management Specialist will play a key role in enhancing the capacity of the country office to meet compliance standards and improve overall program quality through effective reporting and communication.

Duties and Responsibilities:
The Grants Management Specialist will have a comprehensive set of responsibilities, including:
  • Grants Management and Compliance: Assessing and enhancing the country office's capacity to comply with DRC's grant management guidelines and donor compliance. Ensuring adherence to the grants management system (GMS) on Dynamics and maintaining organized filing structures on SharePoint. Preparing and facilitating grant meetings, drafting necessary documents, and participating in monthly Project Management Meetings. Tracking donor financial disbursements against contracts.
  • Reporting: Gathering inputs from the program and MEAL teams, ensuring timely and accurate submission of reports, and assisting in the implementation of program quality tools. Supporting documentation of lessons learned and best practices in design" style="border-bottom: 1px dotted #007bff !important;">program design and implementation.
  • Partnership Management: Facilitating partner assessments, drafting partnership agreements, and assisting in partner capacity building.
  • Other Responsibilities: Leading communications tasks, liaising with finance on budget follow-ups, conducting training sessions, and assisting in proposal development tasks as needed. The specialist may also be required to perform additional duties as requested by the Partnership Specialist, within the scope of the job description.

Required Qualifications:
To be considered for the Grants Management Specialist position, candidates must possess the following qualifications: A Bachelor's degree in Social Sciences, International Development, Economics, Management, or a related field. In-depth knowledge of donor rules, regulations, and procedures, particularly from US and European donors, EU funding mechanisms, UN agencies, and foundations. Proven experience in successfully submitting reporting packages and in capacity building and training of national staff and partners. Full professional proficiency in English, with the ability to produce well-written reports and communications. Strong skills in information gathering, prioritization, multitasking, and problem resolution. Ability to quickly learn and disseminate new knowledge, communicate technical ideas effectively, and adapt to changing environments. Excellent organizational and planning skills, with a keen attention to detail.

Educational Background:
Candidates must have a Bachelor's degree in a relevant field such as Social Sciences, International Development, Economics, or Management. This educational background is essential for understanding the complexities of grant management and compliance within the context of humanitarian work.

Experience:
The position requires at least 3 years of grants management experience with an international NGO. This experience should include a strong understanding of donor compliance and reporting processes, as well as practical experience in capacity building and training of staff and partners.

Languages:
Full professional proficiency in English is mandatory for this position, as the role involves producing formal reports and communications. Additional language skills may be beneficial but are not specified as mandatory.

The contract for this position is for 12 months, with a designated duty station in Kampala, Uganda. The start date is set for January 202
