Job Overview:
The Logistics and Procurement Officer will play a crucial role in managing logistics and procurement functions within IOM Jordan. This position requires a proactive approach to ensure that local procurement procedures are adhered to in accordance with IOM’s policies. The successful candidate will be responsible for providing support and advice in the procurement of goods and services, optimizing purchasing power, and ensuring that all procurement processes are transparent and efficient. The officer will also be tasked with maintaining effective communication with vendors and stakeholders, ensuring that all procurement activities align with the organization's goals and standards. This role is vital for the smooth operation of IOM's logistics and procurement functions, contributing to the overall mission of the organization.

Duties and Responsibilities:
  • Verify that local procurement procedures are in place and adhered to according to IOM’s procurement policy and related regulations.
  • Provide support and advice in the procurement of goods and services for the Mission.
  • Analyze and evaluate vendor quotations and recommend the best options to the relevant requester.
  • Prepare Purchase Orders (PO) with all necessary information and ensure compliance with specifications.
  • Inspect received goods/services to ensure they meet the specifications outlined in the PO.
  • Organize shipments, customs clearance, and necessary documentation for logistics operations.
  • Monitor office supplies and manage stock room effectively.
  • Provide procurement support for fleet-related requests, including vehicle maintenance and insurance.
  • Ensure timely closure of open POs and PRs through the PRISM system. 1
  • Assist in drafting service agreements and liaise with the LEG department for approvals. 1
  • Maintain an organized filing system for procurement and logistics documents. 1
  • Perform any other duties as assigned by the supervisor.

Required Qualifications:
Candidates must possess a university degree in Business Administration, Accounting, Logistics, Supply Chain Management, or a related field from an accredited institution, along with three years of relevant professional experience. Alternatively, a high school diploma with five years of relevant experience is acceptable. Certification in Procurement, Logistics, or Supply Chain Management is considered an advantage. Candidates should demonstrate a strong understanding of procurement processes and logistics management.

Educational Background:
A university degree in a relevant field such as Business Administration, Accounting, Logistics, or Supply Chain Management is required. Candidates with a high school diploma must have additional years of relevant experience to qualify. Certification in procurement or logistics is a plus, indicating a commitment to professional development in the field.

Experience:
The ideal candidate should have experience in procurement and logistics, particularly in working with vendors and service providers. Familiarity with IOM/UN procurement and logistics rules and procedures is highly desirable. Experience in an international organization is also advantageous, as it demonstrates the ability to navigate complex procurement environments and adhere to international standards.

Languages:
Fluency in both English and Arabic is mandatory, with strong oral and written communication skills in both languages. This requirement ensures effective communication with diverse stakeholders and the ability to prepare clear reports and documentation.

Additional Notes:
This position is subject to local recruitment, meaning only candidates with a valid residence and work permit for Jordan will be considered. The appointment is contingent upon medical fitness certification and verification of residency and visa requirements.
