Job Overview: The position of Administrative Support and Driver involves providing essential logistical and administrative support to ensure the smooth functioning of the UN office in Cairo. The role requires coordinating meetings and events, delivering safe transportation for the UNIC Director and visiting officials, and performing various administrative duties. The successful candidate will be responsible for maintaining a high standard of service, ensuring that all operations are conducted efficiently and effectively. This position is crucial for facilitating the work of the UN in the region and requires a proactive approach to problem-solving and communication.
Duties and Responsibilities: The duties and responsibilities of this position include:
Providing general office support services to ensure the smooth functioning of the organizational unit.
Reviewing, recording, routing, and processing mail or other documents; gathering pertinent background material; tracking and monitoring follow-up actions as required.
Receiving phone calls and visitors, responding to routine inquiries, and drafting routine written responses or routing them to appropriate personnel.
Driving the UNIC Director and visiting senior UN officials to and from official functions and events, as well as providing transportation for other UNIC staff to official events as needed.
Performing a variety of administrative duties internally and externally with other UN agencies and government entities, including leave recording, meeting organization, reservations, office supply and equipment orders, and processing of official documents.
Preparing and processing administrative requests/documents such as travel requests, expense claims, vouchers, and visa applications.
Operating and maintaining a variety of office equipment, including photocopiers, facsimiles, printers, and scanners.
Transporting, collecting, and delivering packages/items as required, including picking up pouches from the airport or other document pick-up points.
Responsible for the day-to-day maintenance of the assigned vehicle, logging official trips, daily mileage, fuel consumption, and services. 1
Performing other duties as assigned by the supervisor.
Required Qualifications: The required qualifications for this position include:
Completion of secondary school (O-levels or equivalent).
Basic proficiency in English to read road signs, complete logs, and communicate with staff.
Experience driving for NGOs, government agencies, or private sector organizations is preferred.
Experience operating light vehicles such as sedans, 4x4s, and minibuses; knowledge of rural/off-road driving is an advantage.
Basic mechanical knowledge to identify and report vehicle faults.
A valid driving license is required.
Educational Background: The educational background required for this position is the completion of secondary school (O-levels or equivalent). This foundational education is essential for understanding the basic administrative tasks and responsibilities associated with the role.
Experience: The level of experience needed for this position includes prior driving experience for NGOs, government agencies, or private sector organizations. Candidates should have experience operating light vehicles, including sedans and minibuses, and possess knowledge of rural or off-road driving if applicable. Basic mechanical knowledge to identify and report vehicle faults is also preferred.
Languages: Fluency in spoken and written Arabic is required for this position, as it is essential for communication within the local context. Knowledge of an additional official UN language is considered an advantage, as English is one of the official languages of the United Nations Secretariat.
