  • Reporting to the risk and audit management and closely collaborating with the logistics team, the specialist will contribute to the preparation of these audits by ensuring that all relevant aspects, including finance, human resources, logistics, and operations, are adequately addressed. The role requires meticulous organization and documentation management to ensure compliance with internal procedures and donor requirements. The specialist will be responsible for gathering and classifying all logistics-related documents, verifying their conformity, and updating databases related to inventory, fleet, supplies, and distribution. This position is essential for ensuring that the organization meets its audit requirements effectively and efficiently.

Duties and Responsibilities:
  • Document Preparation: Gather and classify all logistics-related documents, including contracts, purchase orders, invoices, delivery notes, stock reports, and fuel registers. Ensure that all documents comply with internal procedures and donor requirements. Update databases related to inventory, fleet, supplies, and distribution. Prepare a tracking table to monitor document status.
  • Compliance with Procedures and Policies: Identify any discrepancies or anomalies in documentation and processes. Ensure traceability of logistics flows from purchasing to storage and distribution.
  • Internal Coordination: Collaborate with logistics, finance, procurement, program, and HR teams to collect and validate necessary information for audits.
  • Contract and Supplier Monitoring: Verify that logistics contracts (transport, warehouses, maintenance, etc.) are complete, signed, and archived. Ensure that calls for tenders and supplier selections comply with donor regulations.

Required Qualifications:
Candidates must have field experience as a logistics officer or coordinator with Handicap International. They should be familiar with Handicap International's purchasing procedures and understand the interconnections between logistics, finance, and operational departments. The ability to manage, frame, prioritize tasks, and anticipate risks and opportunities is essential. Candidates should demonstrate rigor, organization, and strong planning, delegation, and diplomacy skills. Proficiency in French is mandatory.
