Job Overview:
The Executive Associate position is crucial for ensuring the effective and efficient functioning of the management office under the guidance of the Country Representative. This role involves maintaining confidentiality in all aspects of assignments, managing information flow, and following up on deadlines and commitments. The Executive Associate will work closely with UN Women staff, UN Agencies, and national authorities to facilitate communication and ensure that the Country Representative's office operates smoothly. The position requires a proactive approach to managing the Country Representative's calendar, travel arrangements, and correspondence, as well as providing support for external relations and security" style="border-bottom: 1px dotted #007bff !important;">security" style="border-bottom: 1px dotted #007bff !important;">field security activities.

Duties and Responsibilities:
The Executive Associate will be responsible for a variety of tasks including managing the Country Representative’s calendar, scheduling appointments and meetings, arranging travel and accommodations, and screening calls with discretion. The role also involves ensuring that all logistics related to the office are functioning properly, including IT, electricity, and air conditioning. The Executive Associate will maintain high-level partner contact lists, facilitate communication between the Country Representative’s office and other units, and draft routine correspondence. Additionally, the position requires support for external relations activities, including meeting and greeting officials, coordinating visits, and ensuring protocol matters are handled appropriately. The Executive Associate will also assist in assessing security situations, maintaining the Security Plan, and reporting security incidents. Other duties may include liaising with government authorities for permissions and approvals, providing logistical support for missions, and contributing to knowledge management within the office.

Required Qualifications:
Candidates must have completed secondary education, with a Bachelor’s degree in business administration or public administration considered an asset. The position requires at least 6 years of progressively responsible experience in administrative, secretarial, or program roles. Proficiency in computer applications, particularly Microsoft Office and web-based management systems, is essential. Experience with modern web-based ERP systems, preferably Oracle Cloud, is desirable. Candidates should possess strong organizational skills and the ability to manage confidential information effectively.

Educational Background:
The minimum educational requirement for this position is the completion of secondary education. A Bachelor’s degree in business administration or public administration is preferred and would enhance a candidate's qualifications for the role.

Experience:
The ideal candidate should have a minimum of 6 years of progressively responsible experience in administrative, secretarial, or program roles. This experience should include a strong background in using computer applications and software packages, particularly Microsoft Office, as well as familiarity with web-based management systems. Experience with modern ERP systems, especially Oracle Cloud, is a plus, indicating a candidate's ability to adapt to various administrative technologies.

Languages:
Fluency in English is mandatory for this position. Additionally, having working knowledge of another official UN language is advantageous and may enhance a candidate's suitability for the role.
