In July 2010, the United Nations General Assembly created UN Women, the United Nations Entity for Gender Equality and the Empowerment of Women. In doing so, UN Member States took an historic step in accelerating the Organization’s goals on gender equality and the empowerment of women. The creation of UN Women came about as part of the UN reform agenda, bringing together resources and mandates for greater impact. It merges and builds on the important work of four previously distinct parts of the UN system, which focused exclusively on gender equality and women’s empowerment: > Division for the Advancement of Women (DAW) > International Research and Training Institute for the Advancement of Women (INSTRAW) > Office of the Special Adviser on Gender Issues and Advancement of Women (OSAGI) > United Nations Development Fund for Women (UNIFEM) The main roles of UN Women are: > To support inter-governmental bodies, such as the Commission on the Status of Women, in their formulation of policies, global standards and norms. > To help Member States to implement these standards, standing ready to provide suitable technical and financial support to those countries that request it, and to forge effective partnerships with civil society. > To lead and coordinate the UN system’s work on gender equality as well as promote accountability, including through regular monitoring of system-wide progress.

Job Overview:
The Executive Associate position is crucial for ensuring the effective and efficient functioning of the management office under the guidance of the Country Representative. This role requires full confidentiality in all aspects of assignments, maintenance of protocol procedures, and management of information flow. The Executive Associate will work closely with UN Women staff, UN Agencies, and national authorities to facilitate efficient communication and actions on instructions and agendas. The position involves managing the Country Representative's calendar, arranging travel and accommodations, and ensuring that all logistics related to the office are functioning properly. The Executive Associate will also be responsible for maintaining high-level partner contact lists and coordinating meetings with various stakeholders, including government authorities and NGOs. This role is essential for supporting the Country Representative's external relations activities and ensuring effective communication within the office and with external partners.

Duties and Responsibilities:
The duties and responsibilities of the Executive Associate include managing the Country Representative's calendar and schedule of appointments, arranging travel and hotel accommodations, answering and screening calls with discretion, and ensuring that all logistics related to the office are functioning well. The Executive Associate will follow up on deadlines and commitments, maintain repositories of high-level partner contact lists, and facilitate communication between the Country Representative's Office and other units. Additionally, the role involves drafting routine correspondence, maintaining organized files, and ensuring the safekeeping of confidential materials. The Executive Associate will also support the Country Representative's external relations activities, coordinate logistical arrangements for visits, and assist in maintaining the Security Plan for the Sudan Country Office. This includes gathering and disseminating security information, reporting security incidents, and organizing training courses as required. The Executive Associate will liaise with government authorities for permissions and approvals, provide logistical support for internal and external missions, and contribute to knowledge management within the office.

Required Qualifications:
The position requires completion of secondary education as a minimum, with a Bachelor's degree in business administration or public administration considered an asset. Candidates must possess at least 6 years of progressively responsible experience in administrative, secretarial, or program roles. Proficiency in computer applications, particularly Microsoft Office and web-based management systems, is required. Experience with modern web-based ERP systems, preferably Oracle Cloud, is desirable. Candidates should demonstrate the ability to manage data, documents, correspondence, and maintain protocol and information flow effectively.

Educational Background:
Candidates must have completed secondary education, with a Bachelor's degree in business administration or public administration being advantageous. This educational background is essential for understanding the administrative and operational functions required in this role.

Experience:
The position requires a minimum of 6 years of progressively responsible experience in administrative, secretarial, or program roles. This experience should include familiarity with computer applications and software packages, particularly Microsoft Office, as well as experience with web-based management systems. Experience with modern web-based ERP systems, such as Oracle Cloud, is also desirable, indicating a need for candidates to be technologically adept and capable of handling various administrative tasks efficiently.

Languages:
Fluency in English is mandatory for this position. Additionally, a working knowledge of another official UN language is preferred, which would enhance communication capabilities within the diverse international environment of UN Women.
