Job Overview:
The Procurement Assistant will work closely with the Senior Procurement Officer to develop and implement procurement systems and policies that align with FHI 360's operational standards and donor requirements. This role is crucial in supporting the procurement needs of various FHI 360 offices and projects, ensuring that all supplies and services are procured efficiently and in compliance with established guidelines. The Procurement Assistant will be responsible for managing procurement processes, including tendering, contract negotiations, and vendor management, while also providing training and support to staff involved in procurement activities. The position requires a proactive approach to problem-solving and a commitment to maintaining high standards of professionalism and integrity in all procurement operations.

Duties and Responsibilities:
The Procurement Assistant will be tasked with a variety of responsibilities, including but not limited to: participating in contract negotiations and monitoring delivery specifications; implementing procurement policies and systems at state and field office levels; undertaking tendering processes and evaluating bids; coordinating central procurement activities with state and local government authorities; assisting in training staff on procurement rules and record-keeping; ensuring compliance with FHI 360 procedures; preparing specifications for supplies and presenting recommendations for purchases; maintaining procurement files and documentation; and performing other duties as assigned by the Project Coordinator. The role also involves soliciting competitive pricing from vendors and driving continuous improvement in procurement processes.

Required Qualifications:
Candidates must possess a BS/BA degree in Procurement, Logistics, or a related field, with a minimum of three years of relevant experience. Alternatively, a Master's degree in Business Administration or a related field with at least one year of relevant experience is acceptable. Advanced knowledge of humanitarian logistics procedures, particularly in Northeast Nigeria, is highly advantageous. Experience with ERP software and demonstrated success in multicultural environments will also be considered beneficial. Candidates should exhibit strong analytical, numerical, and problem-solving skills, as well as proficiency in Microsoft Office applications.

Educational Background:
The educational requirements for this position include a Bachelor's degree in a relevant field such as Procurement, Logistics, or Business Administration. A Master's degree in a related discipline is preferred, especially for candidates with less professional experience. The educational background should provide a solid foundation in procurement principles, logistics management, and business operations, equipping the candidate with the necessary skills to perform effectively in this role.

Experience:
The ideal candidate should have a minimum of three years of relevant experience in procurement or logistics, particularly within the humanitarian sector. Candidates with a Master's degree may qualify with at least one year of relevant experience. Experience in the Northeast Nigeria humanitarian context is highly desirable, as it provides insight into the unique challenges and requirements of procurement in this region. Familiarity with procurement processes, contract negotiations, and vendor management is essential for success in this role.

Languages:
Fluency in English is mandatory, as it is the primary language of communication within the organization and with external stakeholders. Proficiency in local languages spoken in Northeast Nigeria would be considered an asset, as it may facilitate better communication with local vendors and communities.

Additional Notes:
This position is based in Maiduguri, Nigeria, and may require travel to various project sites within the region. The role is full-time and may involve working under pressure to meet tight deadlines.
