This position is under Subprogramme 1: ‘Climate Change and Natural Resource Sustainability' of the Economic and Social Commission for Western Asia (ESCWA - unescwa.org ). Within this Subprogramme, the Team Assistant supports the project “Enhancing Resilience and Sustainability of Agriculture in the Arab Region” and will report to the Director in charge of this subprogramme.

Responsibilities

Within limits of delegated authority, the Team Assistant is responsible for the following duties: 1 - Provides general office support services to help ensure the smooth functioning of an organizational unit. 2 - Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards. 3 - Takes notes and drafts executive summaries of meetings. 4 - Assists in monitoring developments/issues on subjects or areas assigned by collecting, selecting, analyzing and compiling materials from multiple sources, e.g., relevant databases, the library and the Internet. 5 - Proofreads written products for completeness and grammatical and typographical accuracy. 6 - Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit. 7 - Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required. 8 - Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required. 9 - Maintains files (both paper and electronic) and databases for work unit. 10 - Updates and maintains large distribution lists; assemble documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services. 11 - Performs basic data entry and extraction functions. 12 - Checks accuracy of simple calculations, codings, data, etc. 13 - Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.). 14 - Photocopies a variety of documents and other materials. 15 - Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc. 16 - Delivers urgent mail/messages. 17 - Performs other duties as assigned.

Education

High school diploma or equivalent is required.

Work Experience

A minimum of two years of experience in general office support or related area is required. Demonstrated research experience and knowledge of sustainable development of natural resources issues is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. In addition, Arabic is a working language at ESCWA. For this position, fluency in English and Arabic is required. Note: “Fluency” equals a rating of ‘fluent’ in all four areas (speak, read, write, and understand) and “Knowledge of” equals a rating of ‘confident’ in two of the four areas.

Assessment

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test when they are short-listed for a job opening. Having passed the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International Criminal Tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST per applicable eligibility guidelines. Special Notice

• This position is temporarily available for 4 months. • If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment. • A current staff member who holds a fixed-term, permanent or continuing appointment may apply for temporary positions no more than one level above his or her current grade. • While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the position. •This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. If no suitable candidate is identified, overseas candidates will be considered subject to a passing grade on the relevant entry-level examinations at the duty station. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment. •The candidate is responsible for any expenses incurred in order to take attend assessments and interviews and, in the event of an employment offer, any costs related to travel and relocation to the duty station. • Staff members of the United Nations common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply. In the case of separation from service on retirement, a former staff member will be ineligible for re-employment for a period of three months following the separation. This equally applies, mutatis mutandis, with respect to a former or current staff member who has held or holds an appointment in another entity applying the United Nations Staff Regulations and Rules and who applies for a temporary position with the Secretariat.

United Nations Considerations

According to article 101, paragraph 3, of the Charter of the United Nations, the paramount consideration in the employment of the staff is the necessity of securing the highest standards of efficiency, competence, and integrity.
