Job Description

Job Title: Operations and Wellness Consultant Background: The Human Resources Department (HRD) is responsible for the Administration and development of the human resources in the IDB Group. It also oversees the implementation of the Human Capital Strategy, building and implementing programs and methodologies in direct support of our results-based Business Model, and focusing on the development of the Bank’s talent and technical skills capacity. The Human Resources Department is seeking to recruit a highly motivated, enthusiastic, and committed professional to join the Health Services Center team (HSC), within the Compensation, Benefits, and HR Services Division (HRD/COB) in HRD. The team: The Compensation, Benefits and HR Services Division (HRD/COB) analyzes, designs, and administers compensation, payroll, and benefits programs for international and national staff assigned to Headquarters and the Country Offices. The organization’s Human Resources Services Center, responsible for administration of key benefits program, also reports through this Division. The Wellness and Operations Coordinator will provide administrative and operation support to the HSC and perform a wide range of Business Support functions of a highly responsible nature to assist in the day to day execution of administrative processes and wellbeing activities. What you’ll do:
  • Perform routine accounts payable functions such as routine payments, invoices, purchase orders, creation/renewal of contracts and professional services agreement, processing disbursement requests through Bank systems. Maintain inventory and receipts of all orders. Serves as main point of contact with all vendors.

  • Creates and maintain accounting ledger, prepare accruals, assist with the preparation of budget proposal, reclassify expenses, and reduce purchase orders as needed.

  • Responsible to process Private Lab requests on Quest Diagnostic’s portal. Advises pick up of results. Ensures Quest Diagnostic’s bill matches the laboratory patient logs and makes/ requests payment adjustments. Pays the bill online.

  • Responsible for development and planning of Bank wide wellness initiatives and events including the Health Fair. Responsible for marketing and implementing all wellness and wellbeing related activities (i.e., identification, invitation and confirmation of speakers; conference rooms reservations; drafting communications with respect to wellness and marketing campaign via multiple IDB systems; tracking participant enrollment/participation; survey distribution and reporting)

  • Work with vendors and other HR associates. Keep abreast of current national wellness and wellbeing initiative and activities, developing a network of resources. Explore ideas and opportunities to increase employee participation.

  • Provide/coordinate content and edition of Wellness Newsletter.

  • Assists in planning and organizing Domestic Violence (DV) Program events. Coordinate working group meetings and communication. Assist in specific DV cases and coordinate cases with providers like AETNA EAP, World Bank, etc.

  • Maintain respect to patient’s rights to privacy and confidentiality, including medical charts/files and the medical information received from and/or about patients.

  • Provides administrative support as needed (e.g. translations of wellness and administrative documents, expedite transactions through numerous Bank’s Units, research information from relevant websites, etc.).

  • Assists with coverage/back-up during Front Desk Coordinator absence.

  • Other duties as assigned by Health Services Center Coordinator.

  • Consanguinity: You have no family members (up to fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB Group.

  • Education: Bachelor’s Degree or Associate Degree in areas related to business administration, health management, public health, wellness, or other relevant discipline.

  • Experience: Minimum 4 years of relevant experience working in administrative support, Wellness Programs, health management or other similar jobs. Strong attention to detail. Strong organizational skills. Ability to prioritize and handle multiple projects at one time under tight deadlines.

  • Languages: Oral and written proficiency in English and Spanish required; knowledge of Portuguese and/or French is a plus.

Core and Technical Competences: Proficiency in the use computer and Microsoft Office (Excel, Word, Access, PowerPoint, Outlook, Windows, Adobe Acrobat) and the ability to rapidly become proficient in new Software Applications. Knowledge of corporate information systems such as SAP, EHR, Info links, etc. is required Opportunity Summary:
