Job Description

The Government of Pakistan has recognized the threat from GLOFs in its National Climate Change Policy. GLOF and flood related hazards are already greater than what the national public finance can manage. To be able to strengthen capacities of vulnerable communities to address the GLOF issue urgently in the scale that is needed, the Government of Pakistan, with support from UNDP secured GCF resources to upscale ongoing initiatives on enhancing resilience of communities to climate change induced disasters in KP and GB, particularly GLOF risks. The interventions proposed for scale-up by this project will be based on activities implemented in two districts that have demonstrated success. In these districts engineering structures like gabion walls have been constructed and automatic weather stations, rain gauges and discharge equipment have been installed. Rural communities receiving this support were able to avoid human and material losses from GLOF events. The proposed GCF project will expand coverage of interventions to fifteen districts in the Khyber Pakhtunkhwa and Gilgit-Baltistan. It will strengthen the technical capacity of national and sub-national decision makers to integrate climate change and Disaster Risk Management into medium- and long-term Development Planning processes.

To this end, PMU-ISB requires the services of an Office Assistant/helper.Duties and Responsibilities

Functions / Key Results Expected

Under the direct supervision of Admin & Finance Assistant, the Office Assistant/helper is responsible to facilitate the project team in smooth functioning of the office premises. S/he will be responsible for organizing meetings, workshops, guest handling, etc. The Office Assistant/helper will be responsible to perform the following day-to-day office support duties:

  • Deliver/distribute mail/messages within office and outside the office.

  • Provide Administration support services to the office

  • Welcoming visitors and guests.

  • Picking-up and delivering goods

  • Responsible for ensuring that the office environment stays well-organized and tidy.

  • Monitoring the use of devices and supplies within the workplace.

  • Dealing with inquiries or needs from the visitors and workers

  • Coordinating the maintenance and repair of devices for the workplace.

  • Assisting management personnel in wide variety of workplace responsibilities.

  • Collecting and distributing couriers or packages among workers and starting and searching messages.

  • Keep the office kitchen and crockery clean and proper.

  • Serve tea, food and water during official meetings

  • Outside petty tasks e.g. deposit utility bills and collection of materials from vendor

  • Operate equipment such as generator, fax machine, copier, etc.

  • Performs other duties as assigned by supervisor.

Required Skills and Experience

Recruitment Qualifications
Education: Under matric. Middle level education is preferred.

Experience: Some working experience in performing office support services in national or international organizations will be preferred.

Language Requirements: Fluency in Urdu required. Basic understanding of English will be an added advantage.
