MEDECINS SANS FRONTIERES is a non-governmental humanitarian aid organisation. We presently work in more than 60 countries, where our volunteers provide assistance to populations in distress and victims of conflict, irrespective of origin, religion, creed or political affiliation. To support this work, the Supply Chain Department of the MSF Operational Centre Brussels is looking for a: Knowledge Management & Internal Communication Officer (m/f/x) CONTEXT Driven by MSF’s goals, the OCB Supply chain’s mission is to enable Humanitarian Action and provide reliable supply chain solutions. The MSF OCB (Brussels Operational Center) Supply Chain includes supply teams on the field, a supply center in Brussels (MSF Supply), a regional hub in Nairobi (KSU) and the Supply Chain Department in Brussels headquarters. The Supply Chain Department defines the global strategy of this supply chain, pilots its performance, and ensures that each site has the appropriate support for its development. According to the OCB Supply Chain strategy 2020-2023: “Pushed by the creation of the Supply Chain Department and by an important investment in recruitment and training, the professionalization of our supply chain resulted in a significant increase of our staff expertise. However, while knowledge, analytical skills and innovation capacity have risen at individual level, capitalization is extremely poor. Explicit knowledge included in structured documents is stored in static tools or isolated drives. As for tacit knowledge (experience, know-how and ideas), it is currently not captured anywhere. Efforts to fill the gap in knowledge management will definitely have to be made, making sure to share information across the community that will help everybody to take the right decisions. They will contribute to one of the MSF OCB main 2020-2023 strategic orientations aiming at increasing access to knowledge. Needless to say that the OCB Supply Chain will be careful not to re-invent the wheel and will not go solo in this matter. Indeed, inspiration will be taken from existing initiatives and, where relevant, active participation in transversal, interdepartmental platforms will be guaranteed.” In addition, the need for significant improvement was identified in the area of Internal Communication. A fully-fledged Internal communication strategy must be developed, including content improvement and channel optimization, among other axes. In order to meet these ambitions, the Supply Chain department needs to reinforce its team with a new position of Knowledge Management and Internal Communication Officer.

JOB PROFILE

The Knowledge Management and Internal Communication Officer’s main activities are the following: Knowledge acquisition · Keep the inventory of existing knowledge sources · Identify new needs for knowledge development · Helps building a knowledge base of standardized practices for key activities · Maintain the supply knowledge management network, with special focus on the community of practice · Make sure processes are in place to retain critical knowledge · Collect information and make sure it is converted into ready-to-use elements Knowledge storage · Participate to the selection and implementation of knowledge storage solutions · Ensure proper Document Management in the department and provide guidance to the field · Structure the knowledge base and take care of the look and feel · Make sure the knowledge base is up to date Knowledge Sharing · Lead the implementation and use of knowledge sharing tools · Facilitate sharing across the community of practice · Promote collaborative methodologies to share knowledge · Push relevant information to the users Internal communication · Optimize communication processes · Plan, edit, and write content for a variety of mediums · Ensure internal communication messages are attractive and consistent · Help staff to understand the initiatives of the department and the organization · Liaise with other internal communication staff Strategy/Monitoring · Develop the department knowledge management and internal communication strategy · Develop and implement the action plan for knowledge management and internal communication · Prepare operational and strategic reports · Review and monitor the respective budget Change Management · Promote a culture where knowledge in general and the community of practice in particular are seen as central · Follow-up progress of knowledge management maturity · Ensure that knowledge management is structurally integrated (job descriptions, trainings/briefings, strategic objectives…) · Ensure that knowledge management and internal communication processes are optimized · Develop and disseminate best practices/policies · Enter knowledge management and internal communication platforms

CANDIDATE PROFILE

  • Education: University degree (Masters) in social, communication, or related field.

  • Minimal working experience of 2 years in knowledge management, communication, network facilitation or related field

  • Strategic thinking and planning abilities

  • Good communication and interpersonal skills

  • Excellent writing skills

  • Excellent knowledge of English and French (Dutch desirable)

  • Good understanding of ICT, online tools and social media

  • Experience with MSF is an asset, but not a strict requirement

  • Experience in Supply Chain Management is an asset, but not a strict requirement
