Job Description

Provides operational, programmatic, and administrative support to global projects within the Infectious Disease and Health Systems IDHS Department and across the department. Ensures compliance with internal and external regulations. Provides support to the Monitoring, Evaluation and Learning (MEL) Team of the Medicines, Technologies, and Pharmaceutical Services (MTaPS) Program to plan and implement monitoring, MEL and Knowledge Management (KM) activities. Provides administrative and Project Management Support for the IDHS Department. Responsibilities:
  • Provide administrative support to programs as needed by writing, reviewing, and translating reports on a quarterly basis.

  • Provides administrative and project management support for IDHS department, in addition to communication efforts related to Program Management and execution

  • Serves as the liaison with FHI 360 enterprise services—Travel, Procurement, Contracts, HR, etc.

  • Supports the completion of necessary documentation required for purchase orders and consultancy packages, and submission of the documentation per FHI 360’s policies.

  • Assists in the development and monitoring of workplans, including tracking of team activities and deliverables

  • Drafts reports and presentations for team reporting and quarterly reviews with USAID

  • Aid in writing, copyediting, formatting, and translating technical documents

  • Assists with developing knowledge products in formats including but not limited to reports, briefs, presentations, photo stories, infographics, podcasts, and videos.

  • Provides support as needed in Data Entry, clean-up, and Analysis.

  • Supports onboarding of new hires and recruitment of consultants as needed.

  • Supports the documentation and dissemination of project accomplishments, challenges, and lessons learned among internal and external partners.

  • Coordinates technical webinars, department meetings, and other cross-cutting activities.

  • Supports efforts to enhance the sharing of information and experiences among IDHS Programs.

  • Ensures compliance with internal and external regulations.

  • Any other task required.

Applied Knowledge & Skills:
  • Working knowledge of concepts, practices and procedures with Design" id="link" class="link">Program Design.

  • Strong oral and written communication skills.

  • Demonstrated proficiency with Microsoft Office suite software.

  • Ability to problem solve and recommend corrective action as needed.

  • Strong organizational and attention detail needed to adhere to project deadlines.

  • Works on problems of moderate scope that require a review of various factors.

  • Exercises judgment within defined procedures and practices to determine appropriate action. Builds rapport with internal and external contacts.

  • Decisions may cause delays and affect a work unit or area within a department.

Supervision Given/Received:
  • Receives general instructions on routine work, detailed instructions on new projects or assignments.

  • Uses independent judgment in determining workflow and priorities.

  • Typically reports to a Manager/ Associate Director/ Director

  • Bachelor's Degree or its International Equivalent required: Public Health, Behavioral, Life/Social Sciences, International Development, Human Development or Related Field.

  • Master’s degree preferred.

  • Requires a minimum of 2-5 years’ experience with public health program management, US Government rules and regulations.

  • Articulate and professional and able to communicate in a clear, positive fashion with clients and staff.

  • Must be able to read, write, and speak fluent English; Spanish and/or French fluency desirable.

  • Prior work experience in a non-governmental organization (NGO), government agency, or private organization.

  • Prior experience using Microsoft Office Suite.

  • Typical office environment. Ability to sit and stand for extended periods of time; ability to lift

  • 5-50 lbs.
