The United Nations Development Programme (UNDP) Office of Information Management and Technology (OIMT) is the organizations primary provider of ICT and Green Energy services to a global network of 155+ country offices worldwide. Noting the large volume of service delivery, the finance and administrative duties in the OIMT/CIAS unit requires dedicated individuals to sufficiently meet requirements of Country Offices and expectations of vendors in a timely manner and optimal capacity in line with Country Office Support vision and mission statements. The HR and Operations Role is responsible for providing full life cycle recruiting support for open positions, maintenance, screening, qualifying, interviewing and all aspects of candidate relationship management while guiding candidates through the selection, hiring and on-boarding process. The role requires understanding of the administrative duties and supporting in the collaboration of the unit`s communication strategy. Duties and Responsibilities
  • Support the unit in developing and enriching the HR strategy, facilitating consultations with managers, coordinating inputs and contributing to the final strategy as needed;

  • Actively support the full life cycle of the recruitment process, including facilitating job publication, assisting with candidate screening, panel interview logistics and candidate management, while closely liaising and providing hiring teams with guidance on process and best practices as needed;

  • Onboard new hires acting as the primary contact point, ensuring the necessary administrative, personnel and IT-related accommodations are made to facilitate smooth integration into the Organization;

  • Supportive Administration and monitoring of the career-related actions including contracts, staff mobility, Career Development, teleworking, absences;

  • Support OIMT with visa and other travel arrangements;

  • Support the administrative efforts by preparing documentation and organization of meetings and events, improve unit IT tools and resources, update documentation to advance unit standards and practices as per the ISO 9001 certification;

  • Support the unit`s communication strategy by providing Coordination to communication activities related with events, country offices communication projects, ad hoc internal and external communication tasks;

  • Support in the processing of Purchase Orders (PO) and invoice settlement related to acquisition of ICT and Green Energy solutions. This includes the process of Request For Quotation (RFQ), placing orders, coordinate procurement, shipment and delivery, receipt and subsequent invoice payment.

Required Skills and Experience Education:
  • Secondary Education with at least six (6) years relevant experience, or Bachelor’s Degree in International Business, Economics, Management or Public Administration or equivalent with relevant experience of at least three (3) years.

Experience:
  • 3-6 years of relevant experience in administration or Programme Support service including HR, administration at the national or international level is required;

  • Knowledge of UNDP ERP system (Atlas) would be a definite advantage;

  • PRINCE2 certification will be an added advantage;

  • UN work experience will be an added advantage.

Language Requirements:
  • Proficiency in English;

  • Working knowledge of other UN language is desirable.
