Job Purpose The Office Assistant is responsible -under the overall control of the Head of Country Cluster- to provide the required support to the Office Finance & Administration to ensure the smooth day-to-day operation, optimal timely performance. Job Duties and Responsibilities Finance tasks
  • Responsible for all aspects of Petty cash management and bank payments, receipts into and payments out of bank/cash accounts and ensuring that all transactions are correctly authorised and fully documented.

  • Preparing monthly Petty cash count and the surprise cash count/s.

  • Control Financial codes and ensure they are correct, supporting documents are attached as required, ensure proper authorisations are obtained prior to issuing payments.

  • Check pending invoices received from suppliers and advise on the required action.

  • Regularly reconcile accounts with suppliers.

  • Daily Data input into Coda in an accurate, efficient & timely manner.

  • Assist in ensuring the full compliance with the financial procedures and guidelines in the Country Office.

  • Prepare the monthly field returns files to be submitted to the Finance Analyst in accordance with the deadlines, ensuring the availability of all supporting documents, and inform Finance Officer of any missing documents.

  • Follow up on the reimbursement of private calls by office staff.

  • Monitor and follow up on working advances given to staff to ensure the clearance

  • Advise Finance Officer on any pending working advance which requires his action to solve the issue.

  • Support the Finance Officer in checking and controlling NS working advances and ensure compliance with IFRC policies and procedures.\

  • Assist Finance Officer in timely production of documentation for audits.

  • Perform other finance tasks if necessary

Admin tasks
  • Support on administrative services within the Tunis cluster office

  • Organize travel arrangements for staff and visitors

  • Follow up of residency permits for delegate

  • Support admin is preparation of invitation letters

  • Support admin in booking flights and hotels

  • Support to organize meetings and workshops and bids when needed

  • Assist in the planning and implementation of internal and external events

  • Perform other admin tasks if necessary

  • Be aware of, ensure compliance with, and support the Federation’s financial procedures, budgeting system, bank reconciliation & processes.

  • Seek management and policy advice and guidance as required

  • Keep good working relationships with all staff and partners in the regional office, country office and national societies.

  • Report any suspicion of fraud through the proper channels as required

  • Any other tasks assigned by the Finance Officer and Admin Officer as required.

Education University Degree-Required Professional /academic qualification in finance or accounting-Required Professional qualification in administration-Required Experience Minimum of 2 years work experience in a financial role.-Required Experience of working for the Red Cross/Red Crescent-Preferred Experience of working with Federation accounting systems-Preferred Knowledge, skills and languages Advanced skills in computers (Windows, spreadsheets, word processing and accounting packages)-Required Knowledge and experience of CODA-Preferred Fluent in both English and Arabic-Required Competencies and values Teamwork;sensitivity to diversity; flexibility & adaptability; initiative & direction; interpersonal skills; resilience
