For more information, visit www.worldbank.org The Pension and Endowments Department (PEN) is responsible for the financial management and administration of the World Bank Group's funded benefit plans, including the retirement scheme - the Staff Retirement Plan, the retiree medical and life insurance programs - the Retired Staff Benefits Plan, and other ancillary benefits. The financial management includes asset management responsibilities and actuarial support. PEN manages approximately US$30 billion invested across a range of asset classes, including fixed income, public equities, private equity, real assets, private credit and absolute return strategies. The Pension Finance Committee, appointed by the Bank Group President and chaired by the Chief Financial Officer, has oversight responsibility for the financial management of the plans. PEN’s responsibilities also include the delivery of technical assistance on multi-asset class investment management to pension plans, endowments and funds for the future, and the management of the Pension Administration function. PEN identifies, selects, evaluates, and monitors investments, mainly through outside managers, on a global basis. Roles & Responsibilities: The Extended Term Temporary will be assigned to work in the Private Markets team but may work in other asset classes or strategy teams and will be responsible for specific tasks related to that set of asset classes or strategies as well as other department-wide assignments, which will include a combination of, but not limited to, the following: • Providing a full range of administrative support (e.g., scheduling of meetings, make travel arrangements, ordering of office supplies) to the Private Markets team; • Assisting in the preparation and processing of legal documentation to be signed by the Director. In consultation with the Legal (LEGFI) team, the ETT will be expected to draft, format, proof-read, edit and finalize documents, making sure all requirements are met; • Responsible for maintaining and organizing of the asset classes’ databases which includes monitoring the email Service Accounts of the teams and updating the databases accordingly; • Handling logistical planning and arrangements for meetings such as the quarterly Pension Finance Committee meeting and annual retreat; weekly Investment Committee meetings; and fund manager meetings; • Maintaining files electronically and relevant hard copies for easy access by team members; • Providing assistance for internal and external audits; • Interfacing with resource management staff and undertake tasks related to resource management as needed; and • Serving as back-up to other Financial Assistants in the department. Undertaking ad hoc duties as may be assigned by the Senior Financial Assistant during absences and/or heavy work periods. Selection Criteria 1) Minimum Education/Experience: Bachelor’s degree in Administration or other related field and at least 5 years relevant work experience in a large international organization, or equivalent combination of education and experience. 2) Basic understanding of economic and financial principles and terminologies. 3) Good knowledge of and demonstrated experience in specialized administrative/operational support functions (e.g., database management, knowledge management, task management, major event/course planning, etc.) and ability to apply relevant procedures, processes and systems. 4) Thorough knowledge of Bank Group policies, procedures and practices, including a good understanding of those related to Treasury operations. 5) Excellent office technology skills, including experience with SAP, Notes and Microsoft Office. Strong Excel skills will be an advantage. 6) Dedicated team player with excellent organization skills, proactive, keen attention to detail, and a demonstrated ability to handle a variety of concurrent activities in a timely manner with minimal supervision. 7) Excellent interpersonal and communication skills, with ability to interact tactfully in internal/external contacts at all levels, exercising good judgment in handling confidential and sensitive information. 8) Flexibility to perform a variety of tasks and expand the scope of work and responsibilities, with willingness to work overtime on short notice and committed to achieving individual and team results. 9) Highest ethical standards. Note: The selected candidate will be offered a one-year appointment, renewable for an additional one year, at the discretion of the World Bank Group, and subject to a lifetime maximum ET Appointment of two years. If an ET appointment ends before a full year, it is considered as a full year toward the lifetime maximum. Former and current ET staff who have completed all or any portion of their second-year ET appointment are not eligible for future ET appointments. Poverty has no borders, neither does excellence.
