Job Description


Chemonics seeks an Operations Associate in support of the Global Health Supply Chain – Procurement and Supply Management (GHSC-PSM) project within the Communications, Learning, Evidence, and Analytics for Results (CLEAR) team in its Arlington, VA office. The CLEAR team includes the Knowledge Management and Communications (KMC), Monitoring and Evaluation (M&E) and Data Analytics teams. The GHSC-PSM project is the primary vehicle through which USAID 1) procures and provides health commodities, 2) provides technical assistance to improve partner countries’ management of the supply chain, and 3) collaborates with key international stakeholders to support global health initiatives. The Operations Associate will work with the Operations Manager to support the CLEAR team and the Global Health Supply Chain Office (GHSCO), and implementation of its work in relation to the GHSC-PSM project. Under general supervision, the Associate is responsible for providing operational, project management and administrative support for staffing and recruitment, staff satisfaction and events, budgeting, team meeting logistics, Coordination of conference abstracts and other technical content, and operations support for data coordination across the project. The Operations Associate will report to the Operations Manager. We are looking for individuals who have a passion for making a difference in the lives of people around the world.

Responsibilities include:

  • Provide general administrative, project management and operations support to the CLEAR Managing Director and team

  • Support the operations manager with developing and implementing business operations strategies, plans, and procedures, ensuring consistency across the CLEAR team

  • Support the operations manager with budget monitoring. Monitors monthly expenses, ensures timely review and submission of subcontractor invoices and contributes to ad hoc Financial Reporting

  • Assist with non-consortium subcontract management and procurement requests

  • Assist the operations manager with managing staffing and resource requirements within the division, including recruitment, and onboarding

  • Provide support to employee transitions, such as updating and maintaining internal new employee orientation materials, adding/removing employees to/from divisional listservs, and submitting new desk-set-up requests

  • Support the management of consultants Coordinates orientation, on/offboarding process, maintains the consultants bench roster, tracks labor ceilings and billing codes and drafts consultant agreements

  • Coordinate formal performance assessment process, manages logistics, performs quality checks, and ensures timely completion

  • Organize staff teambuilding and business events including submitting catering requests, sending Outlook invites to the team, liaising with staff on room set-up, coordinating any required meeting materials, and liaising with external vendors as appropriate for off-site meetings/events

  • Contribute to the development and scoping of the team-wide retreat (and various individual team retreats) and handles all logistics

  • Assist with coordination of monthly, quarterly, annual or ad-hoc reporting, as needed, ensuring timely submission to the client

  • Support ad-hoc requests to provide billable support to the M&E or data analytics teams with survey generation, data cleaning and validation, and coordination of monitoring and evaluation summit

  • Manage and maintains the project-wide content library in collaboration with the KMC team and Country Programs

  • Coordinate and collaborates with other Global Health Supply Chain Office (GHSCO) operations and technical teams, Chemonics’ home office teams, partner staff, and others, as the need arises

  • Serve as a resource for staff by checking in periodically and elevating issues or concerns to the CLEAR Operations Manager as needed and offering solutions as applicable

  • Contribute to technical practice(s) as appropriate

  • Serve as acting operations manager when necessary

  • Perform other duties as required


  • Bachelor’s degree or equivalent work experience

  • Minimum one year of work experience in a professional office work environment

  • Experience providing support to business leadership or executive level staff preferred

  • Recruitment experience preferred

  • Experience supporting a corporate budgeting process preferred

  • Solution oriented, able to solve managerial and operational problems and evaluate options based on relevant information and resources

  • Knowledge of company’s main client and its operations preferred

  • Demonstrated ability to communicate clearly and concisely orally and in writing

  • Strong organizational and work prioritization skills, word processing abilities, knowledge of MS Office applications, and attention to detail

  • Willingness to work overseas for up to 4 to 8 weeks per year

  • Ability to work independently and as part of a team
