Job Description

Administrative Support Consultant Background of this search: The Institutions for Development Department (IFD) is currently looking for a dynamic, experienced and resourceful consultant who enjoys working in a fast-paced, diverse, and motivated environment to join the Front Office team to provide administrative support in a broad range of technical and administrative functions. The team’s mission: The Institutions for Development Department (IFD), as part of the IDB Group, seeks to strengthen institutions and promote effective and efficient policies, with the objective of improving the lives of the citizens of the Region. To fulfill this mandate, IFD conceptualizes, prepares and supports the execution of the Bank's operations related to governance, strengthening and reform of the public sector, digital agenda, decentralization, economic and fiscal issues, the development of Capital Markets as well as Financial Institutions, and competitiveness at the national, regional and local level. What you’ll do:
  • Provide support in the process of contract Analysis and Administration for individual consultant and consulting firms hired by the Institutions for Development Sector.

  • Prepare documentation and gather information to process payments, as well as extensions and cancellations of individual and firm contracts., Review documentation for consulting firm contracts requested by the Divisions in Convergence according to Bank Executed Operations (BEO) policy and compile the correct information and the files for each contract.

  • Provide support in reviewing and registering documentation in the official electronic filing system, EZShare in order to maintain official files of documents and reports in accordance with the Department’s procedures and Bank’s policy.

  • Review and enter information on consultant’s database in order to update the information (record files).

  • Request and follow up the creation of Shopping carts, vendors, and bank information for new consultants and firms.

  • Review, process and follow up all payment requests for individual consultants and consulting firms. Process administrative payments using the SAP and Convergence systems and follow up with FIN to track payments.

  • Follow up with consultants regarding issuing their contracts signed, bank information and invoices.

  • Prepare periodic and special reports, manuals and correspondence as needed. Produce a variety of presentations for meetings and documents, using standard and specialized software including tables, graphs, and charts. Use inter and/or intranet to research or verify information.

  • Respond a variety of requests and inquiries regarding contracts procedures and Bank’s policies.

  • Write routine communications and electronic messages to communicate or request information.

  • Contribute with ideas and feedback on client service requests.

  • Establish work priorities, ensure deadlines are met and procedures are followed.

  • All other administrative functions required or assigned by the group of Contracting Officer and the Front Office.

  What you’ll need:
  • Citizenship: You are a citizen of one of our 48-member countries.

  • Consanguinity: You have no family members (up to fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB Group.

  • Education: Technical Studies or Associate in administration, accounting, or related fields.

  • Experience: At least two years of relevant experience. Knowledge of Computer Applications such as word processing, excel and power point. Good knowledge of SAP, Service Now, EZ-Share and Convergence, Adobe Acrobat as well as internet abilities.

  • Languages: Spanish and English.

Interpersonal skills, as well as, providing high-quality customer service, while balancing the interests of the client and the IDB are essential qualifications for this position. Possess initiative, be proactive and able to work under pressure. Ability to respond in writing providing clear, concise, and timely information. Opportunity Summary:
