UNICEF, established in 1946, is a United Nations agency responsible for providing humanitarian and developmental aid to children worldwide. With a mission to promote the rights and well-being of every child, UNICEF operates in over 150 countries and has a workforce of more than 13,000 employees. The organization focuses on various areas including education, health, nutrition, and protection, ensuring that children have access to essential services and opportunities for a better future.

Job Overview:
The position involves providing professional support for the organization and logistical coordination of high-level meetings, seminars, workshops, and events. This includes identifying venues, organizing refreshments and materials, and ensuring logistical support for participants. The role is structured around establishing one or more Long-Term Agreements (LTA-LVC), which are non-binding agreements that do not commit UNICEF to procure services but outline fixed terms and conditions for service delivery. The initial period for the LTA-LVC is set for one year, with the possibility of extension for up to three years based on satisfactory performance. Services will be required periodically as needs arise within UNICEF's various areas.

Duties and Responsibilities:
A) Pre-event Coordination: Select event locations based on requirements, coordinate logistics once the venue is chosen, including room arrangements, refreshments, sound equipment, and more. Organize the final list of guests and participants, send invitations, and follow up on confirmations. Review the detailed event program and create a step-by-step guide defining responsibilities. Ensure availability of necessary materials and resources. If adolescents are involved, coordinate their participation. Request resumes of authorities and presenters as needed. Prepare materials for presenters and ensure organization of folders for participants. Coordinate travel logistics for participants from other locations. Work with the communications area for event branding and media interactions. Participate in planning meetings and address any specific requirements from the organizing area. B) During the Event: Prepare registration lists, coordinate sound checks and presentation setups with the hotel, manage material distribution, and ensure proper seating arrangements for authorities. Guarantee guest registration and material distribution. Coordinate institutional branding and media areas. Act as a liaison between the event team and the hotel for any additional needs. C) Post-event Coordination: Collect all necessary materials, ensure international guests have coordinated return flights, digitize registration forms for future reference, and prepare a brief event report.

Required Qualifications:
Minimum qualifications include technical training in administration, secretarial studies, communication sciences, or related fields. Specialization in event planning, organization, and basic cost management is required. Candidates should demonstrate knowledge and experience in event organization, particularly with international organizations, and have a strong understanding of working with public sector entities. Experience working with adolescents is desirable. Candidates must provide three references from previous clients to validate their experience.

Educational Background:
Candidates should possess technical studies in administration, secretarial work, communication sciences, or related fields. Specialized training in event planning and organization, as well as basic budgeting skills, is essential. Relevant certifications or courses in these areas will be considered an asset.

Experience:
Candidates should have substantial experience in organizing events and working with international organizations, particularly those affiliated with the United Nations or public sector entities. Experience in managing activities, meetings, workshops, and events is crucial. Familiarity with working dynamics involving adolescents is also preferred. Candidates must provide a comprehensive CV detailing their relevant experience and three references from previous clients.

Languages:
Proficiency in Spanish is mandatory, given the location and nature of the work. Knowledge of English is considered an asset, as it may facilitate communication with international stakeholders and enhance the candidate's ability to engage in diverse environments.

Additional Notes:
The position is based on a Long-Term Agreement (LTA-LVC) for an initial period of one year, with the possibility of renewal for up to three years based on performance. The services will be compensated in local currency (soles), with payments made upon satisfactory completion of deliverables within 30 days of receipt of the invoice. All expenses incurred during the service will be covered by the professional, and candidates are responsible for their tax obligations. Selected candidates must ensure valid visas and health insurance for the duration of the contract. Compliance with COVID-19 vaccination requirements is mandatory unless working remotely.
