Job Overview:
The Programme Assistant position is integral to the Environmentally Sustainable Development Unit within the UNDP Country Office in Brazil. The role involves providing comprehensive support for the management of a portfolio that focuses on environmentally sustainable development initiatives. The Programme Assistant will work under the direct supervision of the Programme Specialist - Cluster Coordinator, assisting in the implementation of various programme and project activities. This includes logistical coordination for events, workshops, and seminars, as well as administrative and operational support to ensure the smooth execution of programme activities. The Programme Assistant will also engage in data management, financial tracking, and resource mobilization efforts, contributing to the overall effectiveness of the UNDP's mission in Brazil.

Duties and Responsibilities:
The Programme Assistant will be responsible for a wide range of duties, including but not limited to:
  • Supporting the Programme staff in the implementation of programme/project activities, ensuring smooth logistical arrangements for events and workshops.
  • Assisting in the collection and compilation of background information for programme planning and documentation, such as the Common Country Assessment (CCA) and the United Nations Sustainable Development Cooperation Framework (UNSDCF).
  • Preparing and formatting draft programme and project documents, work plans, and budgets.
  • Maintaining project and programme data in the corporate management system (Quantum) and ensuring compliance with established procedures.
  • Compiling financial and programme reports from implementing partners and supporting the preparation of routine administrative documentation.
  • Assisting in the preparation, revision, and monitoring of project budgets and financial implementation.
  • Supporting resource mobilization processes by organizing information on donors and contributions.
  • Contributing to knowledge building and sharing by organizing training sessions and compiling lessons learned.
  • Performing other duties as necessary for the efficient functioning of the Programme.

Required Qualifications:
Candidates must possess a minimum of secondary education, with a university degree in Administration, Accounting and Finance, Economics, International Relations, or related fields being an advantage. A minimum of 4 years of relevant work experience is required for those with secondary education, while candidates with a bachelor's degree need at least 1 year of experience. The ideal candidate should have experience in providing administrative support to programme or project planning and implementation, handling financial processes, and managing data in corporate systems. Proficiency in using office software packages and web-based management systems is essential. Familiarity with environment and climate change projects is desirable, along with experience in supporting complex projects involving multiple stakeholders.

Educational Background:
The educational background required for this position includes secondary education as a minimum. A bachelor's degree in relevant fields such as Administration, Accounting and Finance, Economics, or International Relations is preferred but not mandatory. Candidates with equivalent qualifications may also be considered. The emphasis is on having a solid foundation in administrative and operational support within international organizations or development cooperation contexts.

Experience:
The position requires a minimum of 4 years of relevant professional experience for candidates with secondary education, or at least 1 year of experience for those with a bachelor's degree. Experience should be in programme/project support, administration, or operations, preferably within international organizations or public sector contexts. Candidates should demonstrate a track record of providing administrative and substantive support to programme activities, managing financial processes, and maintaining institutional information.

Languages:
Fluency in Portuguese and English is mandatory for this position. A working knowledge of other UN languages is considered desirable, as it may enhance communication and collaboration within the UNDP framework and with international partners.
