Job Overview: The Senior Administrative Assistant position is located in the Office of the Director within UNEP's Climate Change Division in Nairobi. Duties and Responsibilities: The duties and responsibilities of the Senior Administrative Assistant include coordinating human resource management activities such as recruitment, placement, promotion, and training. The incumbent will liaise with central administration services, oversee vacancy announcements, and provide advice on classification procedures. In terms of general administration, the role involves serving as a communication link between the Director and staff, managing correspondence logs, and providing support in managing the Director's priorities and workflow. The Senior Administrative Assistant will also assist with data collection and analysis, contract administration, and budget monitoring, ensuring compliance with UN regulations and policies. Additional responsibilities include preparing reports, managing office technology needs, and organizing seminars and conferences.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with additional training or certification in Human Resources Management or a related area being desirable. A minimum of ten years of experience in human resources and administrative services is required, with a reduction to eight years for candidates holding a first-level university degree or higher. Experience in recruitment, working with an Enterprise Resource Planning (ERP) system, and data analytics is also desirable. Candidates should demonstrate knowledge of internal policies and procedures related to administration, human resources, budget, and finance.
Educational Background: The educational background required for this position includes a high school diploma or equivalent. Experience: The position requires a minimum of ten years of relevant experience in human resources and administrative services. Languages: English is the mandatory working language for this position, with a required proficiency level of UN Level III in reading, writing, listening, and speaking. French is also recognized as a working language of the United Nations, and proficiency in French is considered an asset, although not mandatory for this role.
