Job Overview:
The Project Management Support Analyst position is situated within the Bureau for External Relations and Advocacy (BERA) of UNDP, specifically in the Partnerships Group. This role is crucial for managing strategic relationships with resource partners, particularly focusing on the partnership with the Government of Japan, which is one of UNDP's largest contributors. The analyst will be responsible for overseeing Japan-funded projects, ensuring compliance with donor requirements, and enhancing project management efficiency. The role demands a proactive approach to managing complex, multi-country grant portfolios and requires strong analytical skills to prepare high-level briefing materials and reports for senior management and donor engagement. The analyst will also monitor project progress, establish partnerships, and facilitate knowledge sharing and capacity building within the thematic areas assigned.

Duties and Responsibilities:
  • Lead project management and financial monitoring of Japan-funded projects, ensuring effective coordination with various UNDP bureaus and compliance with donor requirements.
  • Oversee fund transfers, monitor financial status, and manage refunds to ensure donor compliance.
  • Maintain and update the Japan-funded projects database on SharePoint, ensuring accurate project status.
  • Coordinate and review submissions of final narrative and financial reports to the Government of Japan.
  • Analyze portfolio trends and prepare strategic briefing materials for senior management and donor engagement.
  • Monitor and report on project activity progress, updating indicators and targets as necessary.
  • Develop and maintain strong relationships with implementing partners, government officials, and other stakeholders.
  • Facilitate knowledge sharing and capacity building relevant to the assigned thematic areas.
  • Conduct field visits to project sites to monitor implementation and progress. 1
  • Perform other duties as necessary for the efficient functioning of the office and organization.

Required Qualifications:
Candidates must possess a minimum of 2 years of relevant work experience with a master's degree or 4 years with a bachelor's degree in project management, sustainability strategy, or management consulting for international development. Proven experience in managing multi-country donor portfolios and coordinating across UN agencies and government stakeholders is essential. Candidates should demonstrate strong analytical, organizational, and research skills, as well as proficiency in database management and MS Office Suite. Familiarity with SharePoint and UNDP corporate systems is required, along with experience in developing AI-based tools or workflow automation for operational efficiency.

Educational Background:
An advanced university degree (Master’s or equivalent) in International Development, Public Administration, Political Science, Sustainable Business, Environmental Policy, or related fields is required. Alternatively, a first-level university degree (bachelor’s degree) in the stated areas, combined with an additional two years of qualifying experience, will be considered in lieu of the advanced degree.

Experience:
The position requires a minimum of 2 years of progressively responsible experience in project management, sustainability strategy, or management consulting for international development, particularly with multi-stakeholder engagement. Candidates should have a proven record of managing multi-country donor portfolios and experience in Japanese ODA and donor relations.

Languages:
Fluency in English (oral and written) is required. A working knowledge of Japanese is desired, which would enhance communication and collaboration with Japanese stakeholders.
