Job Overview:
The Protocol Clerk position is crucial for supporting the UN Environment Africa Office in organizing high-level meetings and events. The role involves liaising with government officials and delegation representatives, ensuring that all protocol functions are executed smoothly. The incumbent will assist in the preparation of meetings, manage documentation for international staff, and coordinate transportation and special requests for dignitaries. This position requires a proactive approach to problem-solving and excellent organizational skills to handle the complexities of international protocol and event management. The Protocol Clerk will also be responsible for maintaining accurate records of protocol-related information and ensuring compliance with local customs and regulations.

Duties and Responsibilities:
The Protocol Clerk will perform a variety of duties, including but not limited to: providing support in organizing visits for high-level delegations, assisting with documentation and visa requirements, conducting protocol functions for major events, liaising with government officials, and managing special requests for visiting dignitaries. The incumbent will inspect conference rooms to ensure they are prepared for meetings, assemble and distribute background papers and agendas, and coordinate day-to-day protocol activities. Additionally, the Protocol Clerk will report any protocol-related issues to the Head of Office, maintain the UNEP Protocol and VIP lists, facilitate transportation for delegates, and ensure the maintenance of assigned vehicles. The role may also involve supporting administrative tasks related to vehicle clearances and registrations.

Required Qualifications:
Candidates must have completed secondary school or its equivalent, with a minimum of three years of progressively responsible experience in providing protocol clerk services. Experience in an international organization and dealing with International Relations Ministries for protocol clearances and visas is desirable. The ability to handle high-level officials and navigate complex protocol situations is essential for success in this role.

Educational Background:
The educational requirement for this position is the completion of secondary school or its equivalent, which may include vocational or commercial schooling. This foundational education is necessary to ensure that candidates possess the basic skills and knowledge required for the responsibilities of the Protocol Clerk role.

Experience:
The position requires at least three years of progressively responsible experience in protocol services. Candidates with experience working in international organizations and those who have dealt with government authorities for protocol clearances and visas will be preferred. Experience in managing interactions with high-level officials is also desirable, as it indicates the candidate's ability to navigate the complexities of international diplomacy and protocol.

Languages:
English and French are the working languages of the United Nations Secretariat. For this position, proficiency in English, both oral and written, is required. Knowledge of another UN language is considered an asset and may enhance a candidate's suitability for the role.
