Job Overview:
The Fund Portfolio Associate will play a crucial role in supporting the administrative, programmatic, and financial aspects of the Multi-Partner Trust Funds (MDTFs) and Joint Programmes (JPs). This position requires collaboration across various units and functions within UNDP to ensure effective portfolio management. The associate will be responsible for preparing and facilitating standard Contribution Agreements and Memoranda of Understanding, maintaining fund files, and ensuring timely updates of project information on the GATEWAY platform. The role also involves providing programmatic support to Fund Secretariats, assisting in budget preparation, and coordinating project extensions and closures. Additionally, the associate will manage donor commitments, track contributions, and prepare financial reports, all while contributing to knowledge sharing and office management.

Duties and Responsibilities:
The Fund Portfolio Associate will have a diverse set of responsibilities, including:
  • Administrative Support: Preparing and facilitating signatures for Contribution Agreements and MOUs, maintaining fund files, and updating client databases.
  • Programme Support: Providing routine programmatic assistance to Fund Secretariats, creating proposals and budgets, and coordinating project activities.
  • Finance Support: Managing donor commitments, tracking contributions, and preparing financial reports.
  • Knowledge Sharing: Contributing to office strategy development, organizing knowledge events, and synthesizing lessons learned.
  • Office Management: Acting as a focal point for program-related travel and office operations, and performing other duties as necessary for the efficient functioning of the office.

Required Qualifications:
Candidates must possess a minimum of 6 years of progressively responsible experience in administrative and/or programme support services with a secondary education, or 3 years with a university degree. Experience working with UN pooled financing mechanisms is an asset. Proficiency in computer applications and software packages, particularly MS Word and Excel, is required, along with experience in using ERP systems being desirable.

Educational Background:
A secondary education is required, while a university degree (Bachelor’s) in Business, Public Administration, Economics, or other relevant fields will be given due consideration but is not mandatory.

Experience:
The position requires a minimum of 6 years of relevant experience for candidates with secondary education or 3 years for those with a university degree. Experience in administrative and programme support services is essential, with at least 2 years of experience working with UN pooled financing mechanisms being advantageous.

Languages:
Fluency in English is mandatory, while knowledge of French and/or Spanish is desirable, enhancing the candidate's ability to communicate in a multilingual environment.
