Job Overview:
The Grants Management Officer position at DRC Uganda is a critical role that focuses on supporting the Sudan Programme. The primary responsibility of the officer is to ensure compliance with DRC's procedures and guidelines across the grant portfolio related to Sudan. This includes maintaining accurate grants management systems, facilitating structured grant cycle processes, and ensuring adherence to donor regulations. The officer will lead internal coordination efforts, develop timelines for key deliverables, and support the compilation and review of reports and concept notes. The role also involves monitoring compliance milestones and ensuring proper documentation of all grant requirements, making it essential for the officer to have a strong understanding of grants management and donor compliance.

Duties and Responsibilities:
The Grants Management Officer will have a comprehensive set of duties and responsibilities, including:
  • Ensuring accurate and timely updates of the grants management system (Dynamics), including compliance documentation and data extraction.
  • Maintaining and regularly updating the Grants Tracker to ensure accuracy of portfolio overviews, pipeline status, and reporting deadlines.
  • Supporting the preparation and facilitation of grants meetings, including note-taking and dissemination of action points.
  • Monitoring instalment schedules and coordinating with finance on disbursement timelines.
  • Providing structured support to program teams on donor rules and ensuring compliance requirements are reflected in implementation tools.
  • Reviewing draft donor reports for compliance and alignment with contractual obligations.
  • Coordinating with program functions for the development of responsibility matrices for pre-award deliverables.
  • Ensuring the integrity and accessibility of grants-related documentation on SharePoint.
  • Liaising with finance colleagues on budget follow-up and expenditure levels. 1
  • Facilitating inductions for new colleagues on grants systems and internal processes. 1
  • Performing other tasks as identified by the Grants and Business Development Management Manager.

Required Qualifications:
To be considered for the Grants Management Officer position, candidates must possess the following qualifications:
  • A Bachelor’s degree in International Relations, Project Management, Business Administration, or a related field.
  • Knowledge of donor rules, regulations, and procedures, particularly from US and European donors, EU funding mechanisms, and UN agencies.
  • Experience in maintaining grants management systems and trackers, such as Dynamics or similar ERP systems.
  • Proven experience in supporting donor reporting processes, including reviewing narrative and financial reports.
  • Demonstrated ability to track instalments, budgets, and key grant milestones.
  • Proficiency in Microsoft Office, particularly Excel, with a good working knowledge of basic formulas and tracking tools.
  • Excellent written and oral communication skills, with the ability to engage effectively with stakeholders.

Educational Background:
Candidates applying for the Grants Management Officer position must have a Bachelor’s degree in a relevant field such as International Relations, Project Management, or Business Administration. This educational background is essential for understanding the complexities of grants management and compliance within the context of international humanitarian work.

Experience:
The position requires at least 2 years of grants management experience, preferably with an international NGO. This experience should include familiarity with donor compliance, grants management systems, and the ability to navigate complex reporting requirements. Candidates should have a proven track record of managing multiple workflows and maintaining attention to detail in a fast-paced environment.

Languages:
Full professional proficiency in English is mandatory for this position. Knowledge of the Arabic language is considered desirable, as it may enhance communication with certain stakeholders and donors.

Additional Notes:
The Grants Management Officer position is a full-time role with a contract length of 12 months. The position is based in Uganda, and the start date is as soon as possible. Salary and conditions will be in accordance with the Danish Refugee Council’s Terms of Employment for national employees.
