Job Overview: The Medical Administrative Assistant will play a crucial role in supporting the administrative functions of the Migration Health Division within IOM Tunisia. This position involves a variety of tasks aimed at ensuring the smooth operation of health-related projects, particularly those that assist vulnerable migrants. The successful candidate will work under the supervision of the Chief of Mission and the Migration Health Officer, contributing to the implementation of health activities and ensuring compliance with IOM standards and donor requirements. The assistant will also be involved in organizing outreach health activities, compiling medical case reports, and ensuring data protection standards are upheld. Duties and Responsibilities: The Medical Administrative Assistant will be responsible for a comprehensive set of duties, including but not limited to: supporting the administrative and logistics aspects of project implementation; managing financial resources by tracking assets, reserves, and medication stocks; preparing purchase requests and financial documents related to medical referrals; assisting in the organization of outreach health activities; compiling and maintaining medical case files; preparing statistical reports; ensuring data accuracy in appointment scheduling; liaising with other teams for referrals; and performing additional duties as assigned by supervisors. The role requires effective communication and collaboration with medical teams and beneficiaries to ensure timely and accurate service delivery.
Required Qualifications: Candidates must possess a Bachelor’s degree in business management or a related field from an accredited institution, along with a minimum of two years of proven professional experience in roles such as Medical Administrative Assistant, Medical Secretary, or Medical Claim Reviewer. Alternatively, candidates with a High School diploma and at least four years of relevant experience will also be considered. Proficiency in medical office management systems and procedures, as well as a strong command of Microsoft Suite, particularly Excel, is essential. Previous experience with international humanitarian organizations or governmental institutions is highly advantageous, as is a good understanding of medical terminologies and migration issues.
Educational Background: The educational requirements for this position include a Bachelor’s degree in business management or a related field from an accredited academic institution. Candidates with a High School diploma may also apply if they have significant relevant experience. The educational background should ideally provide a solid foundation in administrative practices and an understanding of the healthcare environment, particularly in relation to migration health.
Experience: The position requires candidates to have a minimum of two years of professional experience in medical administration or related fields. Experience in managing medical office operations, familiarity with financial tracking, and a background in working with vulnerable populations are highly desirable. Candidates should also demonstrate considerable experience in using Excel and other Microsoft Office applications, as well as a proven ability to work in multicultural settings, preferably within international organizations.
Languages: Fluency in Arabic and French is mandatory for this position, as these languages are essential for effective communication with beneficiaries and team members. A good knowledge of English is considered an asset, as it may facilitate communication with international staff and stakeholders.
