Job Overview: The Gifts Processing Coordinator plays a vital role in the Fundraising Department of MSF Canada, ensuring the accurate and timely processing of donations across various fundraising programs. This position is crucial for maintaining an exceptional donor experience through efficient gift administration and the integrity of fundraising data. The Coordinator will report directly to the Gifts Processing Unit Manager and will collaborate with colleagues across the Fundraising, Finance, and Administration departments. The role involves managing the entire gift processing workflow, from the receipt of donations to the issuance of tax receipts, thereby supporting the organization's mission to provide humanitarian medical assistance. The Coordinator will also be responsible for creating and documenting processes, training team members, and ensuring compliance with relevant tax guidelines and regulations.
Duties and Responsibilities: The Gifts Processing Coordinator will manage the timely and accurate administration of all philanthropy gifts, which includes sorting incoming donations, inputting gift codes, batching EFT and cheque deposits, and generating gift receipts and acknowledgments in both English and French. The Coordinator will ensure that philanthropy data is accurate and up to date by monitoring data input by the Philanthropy team and collaborating with the Fundraising systems - Data and Analysis unit. Responsibilities also include creating and documenting processes, providing training to colleagues, managing a centralized system for gift tracking and donor acknowledgments, and ensuring compliance with CRA receipting guidelines. The Coordinator will assist with gift processes from Third-Party Aggregators, coordinate with external vendors, and maintain data hygiene in the Raisers Edge database. Additionally, the role involves performing database queries, summarizing findings, and presenting actionable insights, as well as providing general administrative support to the Philanthropy team during events and meetings.
Required Qualifications: Candidates must demonstrate professional experience in records management, legal assistance, fundraising, or office administration. Strong computer literacy is essential, including proficiency in word processing, spreadsheet, and database software. Previous experience with Raiser’s Edge, Salesforce, or equivalent databases is highly desirable. The successful candidate should possess strong interpersonal, written, and oral communication skills, along with proven administrative skills and keen attention to detail. Organizational and time management skills are crucial, with the ability to prioritize and balance diverse workloads effectively.
Educational Background: A relevant educational background is required, typically including a degree or diploma in a related field such as business administration, nonprofit management, or a similar area. Additional certifications in records management or fundraising may be advantageous.
Experience: The position requires a minimum of 2-3 years of relevant experience in records management, fundraising, or office administration. Experience in a nonprofit or charitable organization is preferred, particularly in roles involving donor relations or gift processing.
Languages: Fluency in English is mandatory, and proficiency in French is highly desirable, as the role involves generating communications and acknowledgments in both languages. Knowledge of additional languages may be considered an asset.
Additional Notes: This position operates on a hybrid model, requiring a minimum of 40% presence in the MSF Canada office per week. Regular working hours are Monday to Friday from 9 a.m. to 5 p.m., with core hours from 10 a.m. to 3 p.m., and occasional evenings or weekends may be required.
