Job Overview:
The Asistente de Proyecto will provide administrative and operational support to ensure the effective execution of the Catholic Relief Services (CRS) mission to serve the poor and vulnerable. This role involves maintaining high-quality service and managing resources efficiently to support programmatic effectiveness. The assistant will work closely with the technical team to facilitate daily administrative tasks, visitor management, procurement processes, and vehicle fleet management. Responsibilities include planning and logistics for events and meetings, managing project administrative requirements, and ensuring proper documentation and inventory management. The position is crucial for maintaining operational effectiveness and supporting high-quality programming in the targeted regions.
Duties and Responsibilities:
The Asistente de Proyecto will be responsible for facilitating communication within the project team and with external stakeholders. Key duties include sending, receiving, and distributing correspondence and documents, maintaining communication and tracking financial reports from partners, preparing and processing administrative and financial documents such as payment requisitions and travel authorizations, and managing project files including agreements and financial reports. The assistant will also coordinate logistics for meetings, training sessions, and donor visits, manage travel arrangements for staff and visitors, oversee the acquisition and control of office supplies, and maintain vehicle records. Additionally, the role involves supporting finance and operations teams with expense reports and documentation, as well as providing specialized administrative processes such as translation and document formatting.
Required Qualifications:
Candidates must possess a diploma in secretarial studies, accounting, or administration. Preferred qualifications include completed courses in Administration, Finance, or Auditing. A minimum of three years of relevant work experience in administrative or accounting roles is required, with experience in NGOs being an advantage. Proficiency in data entry, database management, and various office equipment is essential. Candidates should also have strong skills in MS Office applications and experience with collaborative tools and cloud-based systems. Familiarity with the Huista territory is preferred.
Educational Background:
The position requires a diploma in secretarial studies, accounting, or administration. Additional courses in Administration, Finance, or Auditing are preferred but not mandatory. The educational qualifications can be substituted by relevant work experience, particularly in administrative or accounting functions.
Experience:
The Asistente de Proyecto should have at least three years of professional experience in administrative or accounting roles. Experience working with non-governmental organizations (NGOs) is considered a plus. Candidates should demonstrate proficiency in data entry and management, as well as familiarity with various office equipment and software applications.
Languages:
Basic English is preferred but not mandatory. Proficiency in Spanish is essential for effective communication within the organization and with local partners.
Additional Notes:
The position is based in Quetzaltenango and San Antonio Huista, Huehuetenango, with a travel requirement of up to 40% to intervention areas and other locations.
