Job Overview:
The position of Assistant(e) Inventaire is crucial for the effective management and tracking of the World Health Organization's fixed assets in the Democratic Republic of the Congo (DRC). The incumbent will support the WHO Representation Office in Kinshasa by managing an inventory system for the organization's assets and providing administrative and technical support related to the procurement process. This role involves ensuring that all inventory records are accurate and up-to-date, which is essential for the efficient operation of the WHO's activities in the region. The Assistant(e) Inventaire will be responsible for maintaining the integrity of the inventory database, conducting physical inventories, and ensuring compliance with WHO policies and procedures.

Duties and Responsibilities:
The Assistant(e) Inventaire will perform a variety of tasks under the supervision of the Operations Officer or logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer, including but not limited to:
  • Registering all newly acquired fixed assets in the GSM system and periodically updating the inventory.
  • Maintaining and tracking the inventory database, ensuring the quality and accuracy of the information.
  • Receiving goods for the country office and its sub-offices.
  • Conducting annual physical inventories of assets and preparing comprehensive reports for submission to the regional office.
  • Monitoring international and local purchase orders, verifying compliance with established orders, and managing the receipt and storage of inventory items.
  • Ensuring the delivery of goods to users and tracking all movements of inventory items.
  • Conducting physical inventories and recovering items assigned to staff upon their departure.
  • Participating in the update of fixed assets inventory for insurance policy renewals.
  • Preparing lists of lost, obsolete, or damaged items for review by the Property Management Committee. 1
  • Performing any other duties as required by the office.

Required Qualifications:
The ideal candidate should possess the following qualifications: - Essential: A secondary school diploma (or equivalent). - Desirable: Training in computer science, inventory management, or a related field is an asset. - Essential: At least five (5) years of professional experience. - Desirable: Experience in a similar position within an international organization or the United Nations system. - Functional/technical skills: Knowledge of modern coding procedures and inventory materials, as well as a thorough understanding of complex administrative directives and procedures. Ability to work in a multicultural environment and proficiency in modern inventory and statistical software, as well as standard software such as Word, Excel, and Access.

Educational Background:
Candidates must have at least a secondary school diploma (Diplôme d’État or equivalent). Additional training in relevant fields such as inventory management or computer science is considered an advantage.

Experience:
Candidates should have a minimum of five (5) years of professional experience in inventory management or a related field. Experience in a similar role within an international organization or the UN system is highly desirable.

Languages:
Fluency in French is mandatory, with advanced reading, writing, and speaking skills. Proficiency in English is also required, with intermediate reading, writing, and speaking skills. The language requirements are not interchangeable; advanced proficiency in French is essential for this position.
