Job Overview:
The Extended Term Temporary (ETT) position at the World Bank in Sydney is designed to provide comprehensive office support, which includes managing processes and monitoring schedules for Task Team Leaders (TTL) and senior staff. The role is dynamic and requires a significant amount of research to perform non-routine operational tasks. The successful candidate will need to proactively seek guidance and advice from various sources, including the World Bank intranet and staff in other Country Offices and Washington-based HQ, to achieve the desired results. This position also involves extensive liaison with service units, internal team members, and external counterparts, ensuring effective communication and collaboration across different levels of the organization. The ETT will report to the Manager of Portfolio & Operations, who will provide supervision and guidance to the office support team, and may also be assigned responsibilities related to the unit’s administrative functions.

Duties and Responsibilities:
The duties and responsibilities of the Extended Term Temporary (ETT) include:
  • Providing productive and effective support to Task Team Leaders (TTL) and Senior Staff, often working from their own initiative.
  • Drafting routine correspondence and project-related documents, proofreading materials for proper grammar, punctuation, and style.
  • Incorporating agreed comments into documents and utilizing shared drives and software capabilities effectively.
  • Using word processing, spreadsheets, and presentation software to produce complex texts, reports, figures, and graphs according to standard Bank formats.
  • Coordinating schedules, monitoring changes, and communicating information to appropriate staff, including officials outside the World Bank.
  • Solving non-routine problems, such as responding to requests that require file searches and identifying correct operational procedures.
  • Preparing and planning logistics for various events, including conferences, workshops, and negotiations.
  • Creating and updating project milestones and tracking tasks in the Operational Portal and SAP.
  • Monitoring task budgets and trust funds for specific projects on behalf of the team. 1
  • Assisting with processing consultant contracts and travel arrangements. 1
  • Maintaining current distribution lists and project/product contact information. 1
  • Keeping up-to-date project files, both paper and electronic. 1
  • Interacting frequently with internal contacts, other VP and Global Practice units, and external contacts such as government officials and consultants.

Required Qualifications:
The required qualifications for the Extended Term Temporary (ETT) position include a high school diploma with at least 5 years of relevant experience or an equivalent combination of education and experience. A university degree is preferred and would be considered an advantage. Candidates should possess excellent knowledge of Microsoft Word, Excel, Outlook, and PowerPoint. Familiarity with SAP and other World Bank applications, such as the Admin and Operations Portal, is also advantageous. The ability to quickly become proficient in using advanced functions of Bank standard computer applications and state-of-the-art software is essential, along with knowledge of the World Bank’s record management and online filing procedures. Candidates should demonstrate effective time management and organizational skills, the ability to produce high-quality work under pressure, and a commitment to teamwork and interpersonal skills in a multicultural environment.

Educational Background:
Candidates for the Extended Term Temporary (ETT) position should ideally have a high school diploma, with a preference for those who possess a university degree. The educational background should be complemented by relevant experience in administrative or office support roles, demonstrating the ability to handle the responsibilities outlined in the job description effectively.

Experience:
The position requires a minimum of 5 years of relevant experience in administrative or office support roles.
