Job Overview:
The Assistant positions at NATO HQ within the International Military Staff (IMS) and the NATO Standardization Office (NSO) are designed for highly motivated individuals from diverse professional backgrounds. The roles involve supporting various organizational elements by managing administrative and organizational tasks, ensuring efficient team operations, and facilitating seamless planning for meetings and activities. Assistants will also be responsible for supporting internal projects, handling document and information systems, and contributing to the improvement of office procedures. The positions are part of a broader initiative to establish a B-Grade level Assistant Pool to meet a range of administrative requirements across IMS and NSO, indicating a dynamic and evolving work environment.

Duties and Responsibilities:
The duties and responsibilities of the Assistant positions include but are not limited to: managing administrative and organizational tasks to ensure the efficient operation of the team; providing administrative support for meetings and activities to facilitate seamless planning; assisting with internal projects and office administration as required; handling document and information systems, including updating databases and records; contributing to the improvement of office procedures and adapting to new challenges; and taking on additional administrative duties based on the specific needs of the team. The roles may also involve supporting various sections within NATO, such as the Information Support and Archiving Section, Information Processing Section, Registry, and Administrative functions.

Required Qualifications:
Candidates must possess a strong administrative background, with proven experience in managing office tasks and supporting teams. They should demonstrate excellent organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. Proficiency in using office software and information systems is essential. Additionally, candidates should have strong communication skills, both written and verbal, and the ability to work collaboratively within a diverse team. A commitment to NATO's values of integrity, transparency, and accountability is also required.

Educational Background:
A relevant educational background is essential for the Assistant positions. Candidates should ideally hold a degree in business administration, management, or a related field. However, equivalent professional experience may also be considered. Continuous professional development and training in administrative practices will be advantageous for applicants.

Experience:
Candidates are expected to have a minimum of two years of relevant professional experience in administrative support roles. Experience within an international organization or a governmental agency is highly desirable. Languages:
Fluency in English is mandatory, as it is the working language of NATO. Knowledge of French or other NATO languages is considered an asset and may enhance a candidate's application. Additional Notes:
The successful applicant will be offered a three-year definite duration contract, which may be renewed. If the candidate is seconded from a national administration, public institution, or armed forces of a NATO member state, the contract may be extended for an additional three years, with a maximum service time of six years for seconded staff. The appointment is contingent upon obtaining the appropriate security clearance, medical approval, and budget availability. A technical written assessment will be part of the selection process.
