Job Overview: The Travel Quality Specialist (TQS) position is integral to the Meeting and Travel Services (MTS) framework within WHO. The TQS will provide operational support focused on the review and approval of expense reports and related travel transactions. This role is crucial for ensuring accuracy, compliance with WHO travel policies, and timely processing of travel-related expenses. The TQS will also be involved in technical writing, knowledge management, and training to enhance the efficiency of MTS processes. The position requires a proactive approach to identifying discrepancies and ensuring that all travel claims are complete and compliant with established guidelines. The TQS will work closely with the Travel Quality Supervisor and other team members to support the overall objectives of the MTS.
Duties and Responsibilities: The incumbent will be responsible for the following duties:
Review and approve expense reports in accordance with WHO travel policies and procedures, ensuring compliance within established timelines.
Verify supporting documentation for completeness and accuracy of claims submitted by travelers.
Identify discrepancies, missing documentation, or policy exceptions, and communicate necessary corrective actions to travelers or administrative assistants.
Assist with the review of travel requests and related transactions as required.
Support invoice reconciliation activities to ensure accurate financial reporting.
Perform other travel quality assurance tasks as assigned by the supervisor, contributing to the continuous improvement of MTS processes and user support.
Required Qualifications: Candidates must possess strong analytical skills and attention to detail, with a solid understanding of travel policies and procedures. Proficiency in using financial management systems and tools is essential. The ability to communicate effectively with diverse stakeholders and provide excellent customer service is crucial. Candidates should demonstrate integrity, professionalism, and a commitment to WHO's values of respect for diversity and accountability. Familiarity with international travel regulations and experience in a similar role will be advantageous.
Educational Background: A bachelor's degree in finance, business administration, or a related field is required. Additional certifications in travel management or financial auditing would be beneficial. Candidates should have a strong foundation in financial principles and practices, as well as experience in technical writing and documentation management.
Experience: A minimum of 2 years of relevant experience in travel management, financial administration, or a related field is required. Experience working in an international organization or within the United Nations system is highly desirable. Candidates should have a proven track record of managing travel-related processes and ensuring compliance with organizational policies.
Languages: Fluency in English is mandatory, while knowledge of French or Arabic is considered an asset. Candidates should possess strong written and verbal communication skills in the required languages to effectively interact with diverse stakeholders and prepare documentation.
Additional Notes: This position is a national UN Volunteer assignment based in Tunisia, specifically in Tunis. The contract duration is for a specified period with the possibility of extension based on operational needs and satisfactory performance. The volunteer will be responsible for organizing their own accommodation and basic needs. The Volunteer Living Allowance is set at 2,349.66 TND per month, which is intended to cover housing, utilities, and daily living expenses. Additional benefits include comprehensive health insurance for the volunteer and up to three dependents, annual leave of 2.5 days per month, and a final repatriation allowance upon successful completion of the assignment. The living conditions in Tunisia are favorable, with a Mediterranean climate and a rich cultural heritage, making it an attractive location for expatriates.
