Job Overview: This position is located at the Nairobi duty station in UNEP's Industry and Economy Division under the Materials and Systems Innovation Unit. The role involves providing high-quality administrative, financial, and legal support to ensure the compliant, efficient, and timely implementation of project activities. The incumbent will be responsible for rigorous budget and contract monitoring in strict accordance with UN rules, flawless execution of meeting and travel logistics, and the accurate maintenance of audit-ready project documentation. The overall objective of the position is to safeguard institutional integrity by aligning all contracts, budgets, travel logistics, and documentation with UN regulations while optimizing operational support for project partners and stakeholders. The position requires strong organizational skills and the ability to work effectively in a fast-paced, team-oriented environment.
Duties and Responsibilities: The duties and responsibilities for this position include:
Providing administrative support for project operations, ensuring compliance with UN rules and regulations.
Monitoring budgets and contracts to ensure timely and efficient financial management.
Organizing large inter-governmental meetings, including logistics and documentation.
Maintaining accurate and audit-ready project documentation.
Collaborating with project partners and stakeholders to optimize operational support.
Assisting in the preparation of financial reports and documentation as required.
Supporting the Materials and Systems Innovation Unit in implementing UNEP's work programme related to sustainable materials management and circular economy.
Required Qualifications: The required qualifications for this position include:
A high school diploma or equivalent is required.
A first-level university degree in finance, accounting, business administration, public administration, or a related field is desirable.
Proficiency in Microsoft Office applications, particularly Excel, is essential.
Strong organizational skills and attention to detail are necessary for effective performance in this role.
Ability to work effectively in a fast-paced, team-oriented environment is crucial.
Educational Background: The educational background needed for this position includes a high school diploma or equivalent, with a preference for candidates holding a first-level university degree in relevant fields such as finance, accounting, business administration, or public administration. This educational foundation is essential for understanding the financial and administrative aspects of the role.
Experience: Candidates must have a minimum of five (5) years of relevant experience, which includes working with an Enterprise Resource Planning (ERP) system and the administration of financial documents and contracts. Proven experience in organizing large inter-governmental meetings is required, and experience in finance is considered an asset. Prior experience working with the United Nations or international organizations is desirable, as it provides familiarity with the operational standards and expectations of the UN.
