Job Overview: The Programme Support Assistant plays a crucial role in supporting the Programme Specialist in managing projects within the UNDP framework. This position is designed to ensure compliance with UNDP guidelines while providing essential logistical and administrative support to facilitate the efficient implementation of the Programme Management Support Unit's (PMSU) objectives. The Programme Support Assistant is expected to assist in various functions, including delivery monitoring, programme evaluation, and resource management, while also fostering collaboration across different units and teams. The role requires a proactive approach to problem-solving and the ability to adapt to changing business needs, ensuring that the PMSU can meet its strategic goals effectively. The assistant will be involved in organizing meetings, workshops, and events, as well as maintaining documentation and reporting systems to support the overall programme delivery.
Duties and Responsibilities: The Programme Support Assistant will have a diverse set of responsibilities, including:
Providing administrative and logistical support to the Programme Support Unit, including planning and coordinating PMSU activities, arranging meetings and events, and preparing meeting minutes and follow-up action points.
Supporting programme delivery monitoring by tracking project delivery, workplan progress, and implementation timelines, as well as compiling updates from programme teams.
Maintaining organized filing systems for programme documents and supporting the preparation of reports and corporate documentation.
Ensuring compliance with UNDP rules and procedures by reviewing documentation and assisting in the processing of administrative and procurement-related tasks.
Supporting resource, pipeline, and risk management processes by maintaining tracking records and contributing to routine updates of management tools.
Facilitating communication and coordination among programme teams and stakeholders, drafting correspondence, and supporting internal coordination.
Assisting in knowledge management by maintaining shared folders and supporting documentation of lessons learned and good practices.
Performing other duties as required to support the efficient functioning of the office and the organization.
Required Qualifications: Candidates must possess a minimum of secondary education, with a university degree (Bachelor’s degree) in Business Administration, Public Administration, Development Studies, or a related field being advantageous. Additionally, candidates should have relevant work experience in programme support, project coordination, or administrative assistance within international organizations, UN agencies, NGOs, or government institutions. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Candidates should also demonstrate proficiency in Microsoft Office applications and possess experience in maintaining filing systems and documentation practices.
Educational Background: The educational background required for this position includes at least secondary education, with a preference for candidates holding a Bachelor’s degree in relevant fields such as Business Administration, Public Administration, or Development Studies. While a university degree is not mandatory, it is considered an asset that may enhance a candidate's application.
Experience: The position requires a minimum of 5 years of relevant work experience for candidates with secondary education or 2 years for those with a Bachelor’s degree. This experience should be in areas such as programme support, project coordination, or administrative assistance, particularly within international organizations or development projects. Candidates should demonstrate a proven track record of supporting programme implementation and managing project deliverables effectively.
Languages: Fluency in both English and Arabic is required for this position. Proficiency in additional languages may be considered an asset, but the primary focus is on the ability to communicate effectively in these two languages to support the diverse needs of the UNDP's operations in Jordan.
